Supreme Fire Solutions is seeking an organised and reliable Administration Coordinator to support our growing fire protection business. This is a varied, hands-on position involving customer service, technician scheduling, quoting, compliance documentation and general office administration. You will be an important link between our customers, technicians, management and external stakeholders.

Key responsibilities

Answering telephone calls and responding to customer enquiries

Managing the general email inbox and ensuring enquiries are actioned promptly

Scheduling technicians and coordinating daily and recurring service work

Confirming appointments and arranging access with customers, strata managers, tenants and building managers

Creating and maintaining jobs within our job-management system

Preparing and sending quotations, work orders, invoices and service documentation

Following up outstanding quotations, approvals, access arrangements and completed work

Assisting with annual fire safety statement (AFSS) administration and compliance documentation

Monitoring upcoming service dates,



inspection deadlines and outstanding defects

Reviewing technicians' completed jobs to ensure the required information and documentation have been provided

Communicate professionally and confidently with customers and technicians

Keep accurate records and pay close attention to detail

Prioritise work effectively in a busy setting

Follow up outstanding matters without needing constant reminders

Ask questions when unsure rather than make assumptions

Maintain confidentiality regarding customer and company information

Be willing to learn the terminology and compliance requirements of the fire protection industry
