POSITION DESCRIPTION
Position Title: Service & Operations Coordinator
Location: Rydalmere, NSW (Sydney)
Reports To: Branch Manager

Position Summary
The Service & Operations Coordinator plays a central role in the day-to-day running of the Rydalmere branch.
This position is responsible for scheduling and coordinating service technicians, managing customer
communications, and ensuring the smooth operational flow of the business. The ideal candidate is highly
organised, thrives in a fast-paced environment, and has experience in a trade, service, or facilities-based
Key Responsibilities
- Schedule and dispatch service technicians for reactive call-outs, planned maintenance, and new installations
- Monitor technician whereabouts, progress, and job completion throughout the day
- Adjust scheduling in real time to accommodate urgent or emergency jobs
- Coordinate with technicians to ensure they have the correct parts, tools, and job information prior to
Customer Service & Communication
- Act as the first point of contact for customer service enquiries, bookings, and job updates
- Manage inbound calls, emails, and service requests in a professional and timely manner
- Communicate job status and ETAs to clients, following up to ensure satisfaction upon job completion
- Handle customer complaints with professionalism and escalated where required
Administration & Operations
- Maintain accurate records of jobs, technician schedules, and customer interactions in the job management system
- Prepare and send quotes, purchase orders, and service reports as required
- Assist with invoice processing, job costing, and coordinating parts procurement
- Support the Branch Manager with reporting, compliance documentation, and general business administration
- Liaise with suppliers and subcontractors to support operational requirements
Skills & Experience
- Proven experience in a scheduling, coordination, or operations role — ideally within a trade, service, or
- Excellent communication and interpersonal skills — confident dealing with both customers and
- Strong organisational and time management skills with the ability to multi-task and prioritise under pressure
- Proficient in Microsoft Office (Outlook, Word, Excel) and comfortable learning new software systems
- A proactive, can-do attitude with a strong sense of accountability
- Experience with job management software (e.g. simPRO, Aroflo, ServiceMax, or similar)
- Background in the door, building services, or facilities management industry
- Understanding of basic trade operations and scheduling logistics
