Contract Administrator (Construction/Electrical)

Contracts Administrator
Reporting to the Contracts Manager.

As our Senior Contracts Administrator, you will be responsible for the maintenance and administration of project contracts, procurement, and documentation to ensure all commercial and contractual obligations are met across our capital projects.

About the Role

To Summarize:
The key tasks are:





Facilitate the administration of the contract during the construction phase of the projects.

Provide support and contractual assistance to the Project Manager where required to ensure the contractual obligations are being met.

Liaise with the Scheduling team to ensure weekly programme reflects the true performance on the project.

Organise, compile and submit variations to the contract, including preparing detailed substantiation packages that validate entitlement under the contract (cross-referencing design changes, correspondence, site records and pricing) — not simply pricing a change.

Manage the process within contractual time-bar requirements, ensuring qualifying variations are identified and notified within the required notice periods.

Follow up with the client to ensure variations and claims are reviewed and signed off on an ongoing basis throughout the project.

Organise, compile and submit claims for delays and extension of time to the client in accordance with the Contract timeline and requirements.

Manage monthly payment claims, including compilation of supporting compliance documentation (e.g. statutory declarations requiring JP certification).

Manage retention, including tracking and following up Practical Completion (PC)



certification and Deed of Release documentation.

Manage procurement functions including issuing work orders and purchase orders, negotiating supplier pricing, allocating costs to correct cost centres, and coordinating and tracking deliveries.

Review and approve supplier and subcontractor invoices.

Provide reports on Project performance relating to (but not limited to) Progress, WHS, Manning etc as required by the Contract.

About You

To be successful in this position you will hold tertiary qualifications in business administration, law or a related field discipline and have at least 5 years experience as a senior contracts administrator in the heavy construction industry.

You will be able to demonstrate the following:

High level attention to detail

Strong understanding of contract law, construction contracts (e.g., FIDIC, NEC), and industry practices, including time-bar and notice provisions

Experience preparing substantiated variation and EOT claims (not just pricing schedules)

Procurement experience, including purchase order management and supplier price negotiation

Excellent negotiation, communication, and interpersonal skills. Robust analytical and problem-solving abilities.

Proficiency: Proficient in contract management software and Microsoft Office Suite.

Excellent communication skills (written, verbal and interpersonal) with the ability to interact with internal and external stakeholders and clients.
