Full-time | Monday–Friday | $26-$30 per hour + super | No weekends

We’re looking for an experienced healthcare receptionist who wants more than simply a reception job.

Dulwich Physiotherapy is a small, busy, and friendly private practice on Kensington Road in Marryatville. We’re looking for a Clinic Coordinator to become the face and organizational heart of our clinic, someone who enjoys working with people, takes pride in doing things well and wants to become an important part of our team.

This is a varied role with genuine responsibility. You’ll welcome patients, coordinate busy practitioner diaries, support our clinical team and help make sure the little things that create a great healthcare experience don’t get missed.

For the right person, there is plenty of opportunity to take ownership of the role and contribute to the development and growth of the clinic.

A little about us Dulwich Physiotherapy works with people from all walks of life, from children and athletes through to older adults, helping our community stay active, recover from injury and get back to doing the things that matter to them.

Our physiotherapists have particular interests in sports rehabilitation, TMJ conditions and headaches. We also run small-group matwork Pilates, Strength & Balance and OsteoHealth classes, and provide physiotherapy and exercise services to nearby retirement villages and a local school.

Our clinic is home to three physiotherapists, a remedial massage therapist, and a podiatrist, so there is rarely a dull moment.

We’re a close-knit team and want to find someone who enjoys being part of that environment.

What you will be doing

Patient experience & reception

You will be the face of the clinic. You will often be the first person each patient sees as they enter the clinic. We are looking for someone who welcomes everyone, and has them leaving feeling happy.

You will be responsible for:

- Welcoming patients and creating a warm, inclusive, professional first impression




- Answering incoming phone calls and responding to emails promptly
- Managing bookings, cancellations and rescheduling
- Proactively filling appointment gaps and helping keep practitioner diaries running efficiently
- Processing payments and managing Medicare, DVA and private health claims
- Maintaining accurate patient records and administrative information
- Helping patients understand appointments, clinic processes and next steps
- Communicating professionally and compassionately, including during difficult or sensitive conversations
- Maintaining patient privacy and confidentiality
- Keeping the reception and waiting areas organized, welcoming and running smoothly

Clinic administration & coordination You will also help keep the wider clinic organized by:

- Supporting physiotherapists and other practitioners with day-to-day administration
- Preparing and sending correspondence to GPs, specialists and other health professionals
- Monitoring clinic supplies, organizing stock, and reordering
- Following up outstanding administrative tasks without needing to be reminded
- Identifying administrative problems before they become bigger problems
- Helping maintain efficient clinic systems and processes
- Working with the clinic owners to improve the way the practice operates
- Supporting clinic promotions, classes and community initiatives where required
- Building positive relationships with patients, referrers and local organizations

We don’t expect you to know everything from day one. We are looking for someone who enjoys learning, asks questions and increasingly takes ownership of their role. The person we’re hoping to find

Experience matters, but personality matters enormously to us too.

You will enjoy this role if you:

- Genuinely like people. You’ll meet all sorts of personalities and need to make people feel comfortable and welcome.
- Are warm without losing professionalism. We love having a friendly clinic where patients can have a chat and a laugh, but you can also change gears when discretion or sensitivity is needed.
- Notice things. An empty diary, a patient looking confused, stock running low or an unanswered email tends to catch your attention.
- Like being practical. You see something that needs doing and get on with it.




- Can handle organized chaos. The phone may ring while someone is waiting to pay and a physio is asking you a question. You can prioritize tasks, stay calm and keep things moving.
- Take responsibility. If something goes wrong, you help find the solution.
- Communicate openly. If you don’t know, you’ll ask. If you’ve made a mistake, you’ll say so. If you have an idea, we’d like to hear it.
- Enjoy being part of a small team. Everyone contributes to the atmosphere and running of the clinic.
- Have a sense of humor. We take patient care seriously, but we don’t think work needs to feel serious all the time.
- Want some ownership. We’d love to find someone who eventually thinks of the clinic as partly their clinic too and takes pride in helping it succeed.

We are looking for someone who is comfortable talking with people and building positive relationships.

Experience we’re looking for

Previous experience in medical or allied-health reception or healthcare administration is important for this role.

Ideally, you will already be comfortable with:

- Appointment and diary management
- Healthcare administration
- Patient communication
- Processing payments
- Working accurately with confidential patient information
- Word processing

Experience with Medicare, DVA and private health claiming would be highly regarded. Experience with medical or allied-health practice management software is also valuable, although we will provide training in our clinic systems.

We’re particularly interested in finding someone who understands the rhythm of a busy healthcare clinic and can step into the role with confidence while continuing to learn.
