We are growing! Hunter Coast Dermatology & Laser (HCDL) is seeking an enthusiastic and highly organised Medical Administration Officer and Laser Technician to join our wonderful team in a combined clinical and administrative role.
n
HCDL is a premium dermatology and laser practice located in Charlestown. You will work alongside an innovative and energetic team of dermatologists, nurses, dermal therapists, laser technicians and administrative staff.
n
Our practice provides a comprehensive range of high-quality, evidence-based medical and surgical dermatology services, together with advanced laser and aesthetic treatments.
n
This varied position is ideal for someone who enjoys both patient-facing clinical work and medical administration. Previous laser or medical reception training is not essential, as comprehensive training will be provided; however, relevant prior experience will be highly valued.
n
Key responsibilities
n Medical administration and reception
n
n
- Provide professional, welcoming and compassionate service to patients.
n
- Perform day-to-day reception and administrative duties.
n
- Manage patient bookings, telephone calls, emails, referrals and clinical correspondence.
n
- Maintain accurate and confidential patient records.
n
- Ensure patients are fully informed about fees, payment terms and financial consent.
n
- Process patient accounts, Medicare claims, EFTPOS transactions,
receipts and daily reconciliations.
n
- Assist with patient enquiries and complaints in a professional and timely manner.
n
- Coordinate access to patient results, reports and clinical information.
n
- Respond proactively to changes in consulting schedules and practitioner requirements.
n
- Liaise with practitioners, nurses, referrers, suppliers and other external providers.
n
- Help maintain an orderly, efficient and professional practice environment.
n
- Follow all practice policies relating to privacy, infection control, workplace safety and risk management.
n

Laser and patient-care responsibilities
n
n
- Provide a skilled and reassuring experience for patients undergoing laser and aesthetic treatments.
n
- Assist with patient preparation, clinical photography and treatment documentation.
n
- Undertake approved laser and skin treatments following completion of the required training and competency assessments.
n
- Follow dermatologist-directed treatment plans, clinical protocols and laser-safety procedures.
n
- Provide patients with appropriate pre-treatment and post-treatment instructions.
n
- Maintain accurate treatment records and monitor patients throughout their appointments.
n
- Prepare,
clean and restock treatment rooms between patients.
n
- Assist with equipment checks, cleaning and routine maintenance requirements.
n
- Work collaboratively with dermatologists, nurses and dermal therapists to support safe, consistent patient care.
n
- Assist with monitoring and ordering clinical and medical stock.
n
- Identify and promptly escalation clinical concerns to the appropriate practitioner.
n

About you

We are looking for someone who:

- Is interested in developing skills in medical administration, dermatology and laser treatments.

- Is willing to complete comprehensive training and competency assessments.
n
- Has excellent communication, organisation and attention to detail.
n
- Is warm, professional and comfortable supporting patients throughout their treatment journey.
n
- Can balance clinical and administrative responsibilities in a busy environment.
n
- Works well within a multidisciplinary team and has a proactive, flexible "can-do" attitude.
n
- Understands the importance of patient confidentiality, clinical safety and exceptional service.
n
- Is confident using—or willing to learn—EFTPOS systems, Medicare claiming, electronic patient records, email and general computer applications.
n
- Is available for some Saturday work when required.
n
n
Previous experience or training in medical reception, healthcare administration, nursing, dermal therapy, skin treatments or laser services would be highly regarded but is not essential. Comprehensive on-the-job training will be provided to the right candidate.
