Position Summary The Dental Receptionist serves as the first point of contact for patients and plays a vital role in ensuring the smooth and efficient operation of the dental practice. This position is responsible for delivering exceptional customer service, managing front desk operations, and supporting clinical staff through effective administrative coordination.
Key Responsibilities
Patient Interaction & Customer Service
- Greet patients in a professional, friendly, and welcoming manner
- Manage patient check-in and check-out processes efficiently
- Answer phone calls, respond to enquiries, and schedule appointments
- Provide information regarding treatments, services, and general practice procedures
Appointment & Diary Management
- Coordinate and maintain the appointment schedule for dentists and hygienists
- Optimise appointment bookings to minimise gaps and ensure efficient workflow
- Manage recalls, reminders, and follow-up appointments
Administrative Duties
- Maintain accurate patient records and update medical histories
- Process patient forms, consent documents, and insurance details
- Handle billing, invoicing, and processing of payments
- Liaise with health funds and third-party insurers where required
Practice Support
- Assist with general office administration including filing, scanning, and data entry
- Support clinical staff with patient flow and preparation
- Ensure the reception area is clean, organised, and presentable at all times
- Manage stock levels of reception and administrative supplies

- High attention to detail and accuracy in administrative tasks
- Ability to handle confidential information with discretion
- Proficiency with dental or medical software systems (preferred)
- Experience in a customer service or healthcare setting (desirable)
Qualifications & Experience
- Previous experience in a dental, medical, or customer service role preferred
- High school certificate or equivalent required; further administrative training advantageous
- Familiarity with dental practice management software is highly regarded
Working Conditions

- May involve occasional extended hours depending on practice needs
Job Types: Full-time, Part-time, Casual, Permanent Pay: $30.00 – $35.00 per hour
