About the Company IWAKI AUSTRALIA, supplies chemical handling pumps to the water treatment, mining, manufacturing, and process industries nationwide. The company offers a wide range of products including magnetic drive pumps in non-metallic and metallic construction, electronic dosing pumps, motorised metering pumps, air-driven diaphragm pumps, drum pumps, and packaged chemical dosing systems. Pumps are assembled and tested in Castle Hill, NSW, with full traceability on every unit to ensure reliability and quality. Team members contribute to supporting critical industrial applications and safe chemical handling solutions across Australia.

About the role This role covers accounts management, international trade and export administration, contract and terms review, administrative support, and customer service. Key duties include managing accounts payable and receivable, preparing export documentation, reviewing customer and supplier terms and conditions, maintaining customer accounts, and providing administrative and reception support.

Key responsibilities

Create or maintain supplier accounts in MYOB EXO, including entering recent supplier details, performing verifications, and updating changes to existing supplier information

Monitor creditor balances and ensure timely payments

Process supplier invoices, matching them with purchase orders and delivery dockets

Perform company credit card reconciliation

Prepare and schedule payment runs (EFT, BPAY, or credit card)

Reconcile supplier statements and resolve discrepancies





Create or maintain customer accounts in MYOB EXO, including conducting background checks for new clients and updating changes to existing customers

Check and maintain debtors' balances and contact customers for overdue accounts

Prepare and manage complete export documentation, including commercial invoices, packing lists, Certificate of Origin, and bills of lading

Verify documentation for compliance with destination-country and Australian export requirements

Review terms and conditions of customer orders, quotes, and supplier documents, checking payment terms, delivery terms, pricing, and non-standard clauses

Prepare daily bank reconciliation and support month-end reports

Handle phone calls and support customer inquiries, including dealing with visitors and screening incoming calls or emails

Provide administrative support to staff and management, including preparing quotes and ordering consumable items

About you

Strong attention to detail and accuracy

Excellent written and verbal communication skills

Ability to work autonomously and take initiative, identifying tasks that need to be done and following them through without close supervision.

Ability to multitask and manage competing priorities.

Proficient in MS Office and experience with accounting software

Experience with export documentation and international freight, and familiarity with Incoterms and HS codes (desirable).

Ability to read and check commercial terms and conditions.
