Medical Receptionist – 4 Days/Week Avail | Specialist Plastic Surgery Practice

About the role
We are seeking an experienced, warm and professional Medical Receptionist to join our specialist plastic surgery practice in Benowa.
We are looking for someone who is available to work approximately 4 days per week as a consistent member of our team. The position is initially offered on a casual basis, with potential for the role to transition to part-time or full time employment as our practice continues to grow and our staffing needs evolve.
This is a hands‑on medical reception and administration role, with a strong focus on patient care, organisation and providing an exceptional patient experience .
You will be an important part of our practice and one of the welcoming faces our patients interact with throughout their journey.
Key responsibilities
- Welcoming and checking patients in and out
- Answering and managing incoming phone calls
- Responding to patient messages and emails
- Contacting patients when recent referrals are received
- Scheduling, confirming and managing appointments
- Processing consultation payments and issuing receipts
- Processing Medicare claims, including bulk billing eligible review appointments
- Issuing invoices and managing patient payments
- Registering patients and maintaining accurate patient information
- Scanning and uploading documents to patient files
- Maintaining patient privacy and confidentiality
- Maintaining a tidy, organised and professional reception area
- Providing general administrative and clinic support as required
- Making tea and coffee for patients and helping to create a warm and welcoming environment
- Supporting the wider team with administrative tasks as required
About you
We are looking for someone who is:
- Experienced in medical reception or administration
- Warm, friendly and qualified
- Confident and articulate on the phone and in person
- Highly organised with excellent attention to detail
- Comfortable managing multiple tasks in a busy practice
- Confident handling payments, invoicing and Medicare processing
- Reliable and punctual
- Discreet and qualified when handling confidential patient information
- Able to work independently while contributing positively to a close-knit team
- Well presented and comfortable working in a professional specialist medical environment
- Compassionate and understanding when dealing with patients
- A quick learner who is confident using computer systems and software
- Looking for a consistent role and the opportunity to become a valued, long-term member of a team
Systems & experience
We use Xestro practice management software , so experience with Xestro will be highly regarded.
Experience with the following will also be advantageous:
- Xestro or other medical practice management software
- Medicare processing and bulk billing
- Medical invoicing and payments
- Patient referrals
- Specialist medical or surgical practices
- HubSpot or other CRM systems
Additional responsibilities and team support
As part of a small specialist practice, there may also be opportunities to assist with broader administrative and patient support activities.
This may include:
- Assisting with patient enquiries and follow-up
- Responding to prospective patient enquiries
- Assisting with consultation bookings
- Updating patient and enquiry information in Xestro and HubSpot
- Providing general administrative support to the team
This is not a sales-focused role and sales experience is not essential . However, confidence communicating with prospective patients and providing professional, empathetic and helpful assistance will be highly regarded.
