Service Sales Estimator & Parts Coordinator

CFM Air Conditioning | Hallam

CFM Air Conditioning provides commercial and industrial HVAC services across Victoria. We’re looking for a practical, organised, multi-skilled person to manage service quoting, customer enquiries, purchasing and spare parts coordination.

Based at our Hallam office and warehouse, this wide-ranging internal role requires no customer site visits.

About the role

- Prepare and follow up repair and maintenance quotes using technician reports and supplier pricing.
- Manage customer accounts and enquiries, provide updates and identify additional service opportunities.
- Assist with maintenance proposals, renewals and tender submissions.
- Source parts, compare supplier pricing, raise purchase orders and track deliveries.
- Keep warehouse spare parts organised and maintain accurate stock records and inventory levels.
- Coordinate warehouse and technician van stocktakes, establish stock requirements and arrange replenishment.
- Work with technicians and scheduling staff to ensure parts are available when needed.
- Maintain accurate quoting, customer,



purchasing and inventory records in Simpro.

About you

- Experience in a trade-based business, ideally HVAC, refrigeration, electrical, plumbing or mechanical services.
- A background in estimating, internal sales, service coordination or spare parts.
- Practical experience with purchasing, supplier management, inventory control and stocktakes.
- Strong communication skills, attention to detail and an understanding of pricing and margins.
- The ability to manage competing priorities, work independently and follow tasks through to completion.
- Confidence using Microsoft Office and CRM or job management software. Simpro experience and familiarity with AI tools that improve everyday workflows are highly regarded.
- HVAC technical knowledge or a trade background would be an advantage.
