Medical Secretary – Full-time (Caulfield South/ Bentleigh) Bayside Heart is a Cardiologist-led team dedicated to excellence and genuine patient care.

Our Medical Receptionists are the first point of contact for patients, families, referring clinicians and healthcare providers. This role is essential to delivering high-quality patient experiences and supporting the smooth operation of a cardiology specialist practice. You’ll manage administrative and reception duties with professionalism, warmth, and accuracy in a clinical environment.

Key Responsibilities Front-Desk & Patient Interaction

Welcome and greet patients, visitors and allied health professionals.

Answer incoming calls and emails in a professional, prompt manner.

Manage patient enquiries, provide information and direct calls as appropriate.

Appointment & Clinic Management

Schedule, update and manage patient appointments using clinic management software (Gentu).

Coordinate referrals from general practitioners and other specialists.

Ensure accurate patient registration and demographic data entry.

Administrative & Clerical Duties

Maintain patient records, scan, fax and email documentation as needed.

Support cardiologists and clinical staff with basic administrative tasks (e.g., paperwork prep,



reports distribution).

Maintain confidentiality and privacy in accordance with clinic policy and health regulations.

Billing & Claims Processing

Process patient billing, issue invoices/receipts, and handle Medicare and private insurance claims accurately.

Handle payments and end-of-day reconciliation if required.

Required Skills & Experience

Previous experience in a medical reception, administrative or healthcare role (specialist practice experience desirable).

Robust customer service, communication and interpersonal skills.

High level of organisation, attention to detail and ability to multitask under pressure.

Competent computer skills, including practice management software and MS Office.

Professional presentation and phone manner suitable for a clinical environment.

Understanding of Medicare item numbers and billing processes is advantageous.
