About the opportunity The Legal Assistant provides high-level administrative, operational and project support to the Legal and Audit team, which delivers advice and assistance to the University on governance, legal matters, risk management, internal audit and compliance. Working closely with the Business Manager, the role serves as the first point of contact for the team, managing incoming enquiries, coordinating work allocation, preparing draft documents, correspondence and briefing notes, maintaining contract templates within the Contract Management platform, supporting the management and allocation of legal matters through the University's legal matter management system,and undertaking a range of secretarial and administrative duties to support the productive day-to-day operation of the team.
What you’ll do:
- Manage and workflow incoming requests and queries through the University's legal matter management system, including reviewing submissions for completeness,
supporting matter allocation and escalation of urgent or sensitive matters, and coordinating matters from courts and regulatory bodies, right to information requests (RTIs) and requests for access to information. Assist in the preparation and finalisation of various documentation (letters, memos, committee papers) and ensure accurate storage in central repository systems.
- Coordinate and maintain internal systems, registers, and databases relevant to team processes, ensuring accuracy and accessibility.
- Provide high level admin support to the Legal and Audit team, including reporting to and liaison with internal and external stakeholders and coordination of actions within specified timeframes.
- Undertake a range of administrative, financial, systems and coordination tasks supporting the operations of Legal and Audit Services, including team activities, training, invoice processing and other operational requirements.
What we’re looking for:
- Experience in office management or administration, preferably within a legal or regulatory environment.
- Proficient in Microsoft 365 suite with the ability to pick up other systems quickly.
- Strong organisational and time-management skills, with the ability to manage competing priorities and sensitive matters with accuracy, discretion and professionalism.
Demonstrated ability to work collaboratively and build effective relationships with internal and external stakeholders. Ability to work autonomously with minimal supervision.
Salary details Appointment to this role will be at HEO 5 and will have a total remuneration package of up to $105,665 comprising base salary within the range of $80,869 to $90,312 plus 17% superannuation.
