Ultimate Security is seeking a highly organised and customer-focused Maintenance Planner to join our growing service team.
n
This is a fast-paced coordination role where you will be responsible for planning, scheduling, and managing maintenance and service activities for our field technicians and subcontractors. You will play a key role in ensuring seamless service delivery, excellent customer communication, and efficient administration from job creation through to completion.
n

Key Responsibilities
n
n
- Schedule and coordinate annual and bi-annual maintenance services
n
- Manage work orders and service requests through company systems
n
- Dispatch technicians and subcontractors to meet operational requirements
n
- Liaise with customers, technicians, subcontractors, and internal stakeholders
n
- Provide clear and proactive customer communication regarding service updates and scheduling
n
- Manage inbound and outbound email correspondence professionally and efficiently
n
- Maintain accurate service records and documentation
n
- Prepare customer invoices and process subcontractor invoices
n
- Assist in resolving service enquiries and operational issues
n
- Ensure compliance with WHS policies, procedures, and company standards
n
n

n
You are a proactive and detail-oriented professional with excellent organisational and communication skills. You can confidently manage competing priorities while maintaining a high standard of customer service.

Essential Skills & Experience

- Strong administration, scheduling, and coordination skills
n
- Excellent time management and organisational ability
n
- High attention to detail and accuracy
n
- Strong written and verbal communication skills
n
- Professional phone and email etiquette
n
- Ability to multitask in a fast-paced environment
n
- Proficiency in Microsoft Word, Excel, and Outlook
n
- Robust customer service focus
n
- Experience using service management or CRM systems such as simPRO
n
- Previous experience in a service, maintenance, or operational environment
n
