Primary objective To provide high quality and efficient organisational and administrative support to the Medical Day Stay Unit and team and wider services of Katherine Hospital as required.
Context statement The Medical Day Stay Unit (MDSU) provides day stay treatment for Oncology, Haematology and Medical services. The Administration
Officer (AO)
is responsible for the provision of organisational and administrative support for the wider services as part of the Patient
Services Team.
Key duties and responsibilities
1. Provide administrative services to the MDSU service and to broader services as directed including the provision of a frontline
information service in response to queries from the public, staff and external agencies.
1. Conduct patient interviews to verify demographic details and financial status, ensuring accurate data is entered in a timely manner.
2. Facilitate initial and follow up appointments for clinics and arrange transfers, patient travel, discharges and follow up through
appropriate channels.
1. Complete requests for medical information and finance processing as appropriate.
2. Maintain up to date electronic records and ensure medical records are prepared and collated, including all relevant referrals, reports
and correspondence on file and available for the team prior to clinic appointments.
1. Coordinate data input for data bases and other projects as determined by unit and service.
2. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken in
order to ensure high quality, safe services and workplaces.
Selection criteria
Essential
1.
Demonstrated ability to provide a consistently high-quality administrative service in a client focussed area, in a calm, efficient, highly
confidential and mature manner.
1. Demonstrated ability to use or learn computerised hospital information systems including Excel, Word, Access, Outlook, and
experience (or ability to obtain) with TMS, JadeCare, Mosiaq and Acacia.
1. Ability to work independently and unsupervised with proven ability to maintain standards during periods of high workload activity,
particularly accuracy and attention to detail.
1. Demonstrated written and verbal ability to communicate effectively with people of diverse cultures and health professionals in a
sensitive manner.
1. Demonstrated ability to take direction from the department manager or delegate and proven ability to work as part of a team. And
across service areas as delegated.
Desirable
1. Medical terminology and experience in a medical/hospital setting.
2. Demonstrated understanding of multimedia and communications equipment for video or web-conferencing and electronic information
sharing.
