This is a busy and varied Medical Secretary role within a well-established specialist pain practice at Robina, where you'll have responsibility for supporting your allocated clinicians and coordinating the administration around their patients' care — from clinics and diaries through to procedures, hospital admissions, billing and correspondence.
But while you'll have your own clinicians and responsibilities, you're very much part of a team. Everyone supports the wider practice, shares the phones and steps in for one another when needed.
For someone who enjoys getting to know their patients as much as they enjoy keeping a busy day organised, there is a lot to enjoy about this position.

About the Practice
You'll be joining a well-established specialist pain practice in Robina, supporting patients with complex and ongoing pain.
It's a busy, professional and patient-focused environment with a warm and collaborative culture. The team works closely together, supports one another and takes genuine pride in the service they provide.
Because many patients receive ongoing care, the relationships matter.
You'll often get to know patients over time and become a familiar person they speak with throughout their care.
What will your day look like?
You'll take ownership of the administration for your allocated clinicians, keeping their clinics organised and making sure the many moving parts around their patients' care come together.
Your day could see you:
- Coordinating clinics and diaries – managing appointments, changes and the day-to-day organisation of your clinicians
- Organising procedures and hospital admissions – liaising with hospitals, coordinating theatre bookings and preparing admission paperwork
- Keeping patient care moving – following up referrals, reports, imaging, approvals and other documentation
- Managing billing and accounts – patient invoicing, quotes, eligibility checks and debtor follow-up
- Supporting your patients – answering enquiries, providing information and helping them navigate the administrative side of their care
- Managing correspondence – keeping communication flowing between clinicians, patients and others involved in their care
- Liaising with hospitals and other professionals – including medical practices, insurers, lawyers and healthcare providers
- Supporting the wider practice – answering phones, welcoming patients and stepping in alongside your colleagues when needed
These responsibilities reflect the breadth of the existing position, including patient administration, procedure quotes and eligibility, hospital admissions and theatre bookings, billing, correspondence, records and practitioner diary management.

The patient relationships matter
Working in pain medicine means you'll often be speaking with people who are living with ongoing pain. They may be uncomfortable, worried,
frustrated or simply need a little more patience on a difficult day.
We're looking for someone who can remain warm and professional even when things are busy — someone who listens, communicates well and understands that exceptional customer service is as much about how you make someone feel as it is about getting the administration right.
The existing position description similarly places importance on a warm, friendly and compassionate manner with patients and families.
Who would thrive in this role?
We'd particularly love to hear from an experienced Medical Secretary or Medical Receptionist who already understands the pace, responsibility and variety of a busy medical practice.
However, medical experience isn't the only pathway into this role.
If you've developed strong administration, coordination and customer service skills in another fast-paced professional environment and would love the opportunity to bring those skills into healthcare, we'd also encourage you to apply.
