Office Manager – Paediatric Allied Health

LEAP Centre is a growing paediatric allied health practice providing Occupational Therapy and Speech Pathology services to children and families across Sydney’s Northern Beaches.
We’re looking for an experienced, highly organised and proactive Office Manager to take ownership of the day-to-day administrative operations of our practice and help ensure our clinic runs smoothly, efficiently and professionally.
This is a hands-on, client-facing role that combines reception and front-desk responsibilities with responsibility for the day-to-day administration and coordination of the clinic. You’ll be a central point of contact for our families and therapists and an important part of keeping the practice running well.
About the role
Your responsibilities will include
- Managing the front desk and day-to-day reception of the clinic
- Welcoming children and families and providing warm, professional customer service
- Answering incoming phone calls and managing clinic emails
- Managing therapist schedules, appointments and client bookings
- Coordinating referrals, enquiries and new client intake
- Managing billing, payments and general accounts administration
- Supporting NDIS and private client administration
- Maintaining accurate client and practice records
- Supporting and coordinating the broader administration function
- Developing and improving administrative systems and procedures
- Identifying opportunities to improve efficiency and the client experience
- Working closely with the Directors and clinical leadership team
- Assisting with clinic programs, projects and other operational tasks as required
About you
We’re looking for someone who is capable, dependable and genuinely enjoys taking ownership of their role.
You’ll ideally have
- Strong experience in office management, practice administration or a senior administrative role
- Excellent organisational and time-management skills
- Solid attention to detail
- Confidence managing competing priorities in a busy environment
- Excellent written and verbal communication skills
- A warm, friendly and professional manner with children and families
- Strong initiative and problem-solving skills
- Confidence learning and managing systems and processes
- The ability to work independently while also being a collaborative member of the team
- A proactive mindset — you notice what needs to be done and take the initiative to make it happen
