About the Role

We are looking for an experienced Office Manager / Construction Administrator to take ownership of the day to day administration, coordination and organisation that keeps our construction jobs moving.

This is a 100% work from home, full time, permanent position.

You will work closely with the owners and communicate regularly with builders, trades, clients, suppliers, councils and other stakeholders. You will be responsible for keeping administration organised, ensuring jobs are properly documented and making sure upcoming works stay on track.

Key Responsibilities:

Office and Administration

· Oversee the day to day administration and organisation of the business

· Provide administrative support to the Managing Director, including calendar management, documents and correspondence

· Manage emails, phone enquiries and general office communications

· Maintain accurate records, spreadsheets and filing systems

· Keep job management systems and project records up to date

· Enter new building jobs and information into Monday.com

· Prepare pre site, contract and general project administration paperwork

· Ensure incoming documents are properly recorded and filed.

· Posting regularly on all social media platforms.

Construction Administration and Coordination

· Coordinate with builders, clients, trades and suppliers





· Coordinate job schedules and keep upcoming works organised

· Follow up with trades and suppliers to keep jobs progressing

· Order building materials and coordinate deliveries

· Review compliance certificates, plans, invoices and project documentation

· Identify outstanding tasks and follow them up proactively

· Assist with keeping projects organised from booking through to completion

QBCC, Council and Compliance

- Lodge QBCC, council and building approval applications as required
- Track applications and follow up on outstanding requests
- Assist with final certificates and completion documentation
- Maintain accurate compliance and project records
- Review and organise certificates, plans and approvals

Leads, Website and Marketing

- Manage and follow up leads generated through marketing campaigns
- Ensure enquiries are recorded and followed up promptly
- Assist with website updates and liaise with the website maintenance team
- Maintain accurate customer and lead information

Finance and General Administration

- Process invoices and assist with bill payments
- Assist with monitoring expenses and budgets
- Maintain organised financial and administrative records
- Basic accounting and finance knowledge required, with Xero experience preferred

What We're Looking For

We are looking for someone who can hit the ground running and understands how a construction or trade based business operates.

- Previous experience working with a builder,



construction company or trade based business
- Experience using Monday.com and Xero.
- Strong organisational and time management skills
- Excellent written and verbal communication skills
- Strong attention to detail
- Ability to manage multiple jobs, deadlines and priorities
- Confident communicating with builders, trades, suppliers, clients and councils
- Strong computer skills, including Microsoft Office.
- Ability to work independently in a 100% work from home environment
- Proactive approach with the ability to identify what needs to be done and take action
