STAR Community Services is seeking a highly organised and customer-focused Part-Time Finance Administrator to support our growing NDIS and Support at Home services.
This role is ideal for an experienced administration professional who enjoys working with numbers, providing excellent customer service, and supporting vulnerable members of the community. Reporting to the Finance Team, you will play a key role in ensuring accurate billing, claims processing, accounts administration, client record management, and stakeholder communication.
About the Role
As the Finance Administrator, you will provide financial and administrative support across our NDIS and Support at Home programs while delivering professional and responsive service to clients, families, funding bodies, suppliers, and internal stakeholders.
Working within agreed part-time hours, you will assist with invoicing, claims management, accounts payable and receivable, service agreements, funding administration, and telephone enquiries to ensure services are delivered efficiently and compliantly.
Key ResponsibilitiesFinancial Administration
- Generate NDIS quotes and service agreements.
- Process NDIS claims through PRODA and Support at Home funding claims.
- Manage client billing, invoicing, payment allocations, and receipting.
- Process accounts payable and accounts receivable transactions.
- Maintain accurate financial records and funding information.
- Monitor outstanding accounts and assist with debt collection activities.
- Support monthly reconciliations and other finance activities.
- Implement NDIS pricing and fee schedule updates.
Customer Service & Reception Support
- Answer and direct incoming telephone calls professionally and efficiently.
- Respond to enquiries from clients, families, suppliers, and stakeholders.
- Provide support regarding invoices, claims, funding arrangements, and service agreements.
- Monitor and respond to shared finance and administration inboxes.
- Maintain positive relationships with participants, aged care clients, plan managers, and funding bodies.
Administration & Data Management
- Maintain accurate client records in TRACCS, Xero, PRODA, and related systems.
- Ensure documentation is complete, current, and compliant.
- Monitor service agreements, funding records, renewals, and client information.
- Identify and resolve discrepancies in financial and client records.
Compliance & Reporting
- Support audits, reconciliations, and compliance activities.
- Assist with financial, funding, and operational reporting.
- Contribute to continuous improvement initiatives and process efficiencies.
- Participate in team meetings, supervision, and professional development.
About You To be successful in this role, you will have:
Essential Requirements
- Certificate III in Business Administration, Finance, Accounting, or a related field, or equivalent experience.
- Experience in finance administration, accounts payable, accounts receivable, billing, or customer service administration.
- Strong Microsoft Office skills, particularly Excel, Outlook, and Word.
- High level of accuracy and attention to detail.
- Excellent organisational and time management skills.
- Strong communication and customer service skills.
- Ability to learn and utilise systems such as TRACCS, Xero, and PRODA.
Desirable
- Experience within NDIS, aged care, Support at Home, disability, or community services.
- Experience using TRACCS, Xero, and PRODA.
- Knowledge of NDIS funding arrangements, service agreements, and claiming processes.
- Understanding of Support at Home funding and client contribution requirements.

Employment Details
- Position: Part-Time Finance Administrator - NDIS & Support at Home
- Award: SCHADS Award (classification dependent on skills and experience)
- Hours: Agreed part-time hours across designated working days
- Additional hours may be available by mutual agreement and operational requirements.
Pre-Employment Requirements
- Current NDIS Worker Screening Clearance.
- NDIS Worker Orientation Module Certificate.
- Current Australian Driver's Licence.
- Current Flu Vaccination and COVID-19 Vaccination encouraged.
