Help Preserve South Australia's Heritage The National Trust of South Australia is a community-based, not-for-profit organisation dedicated to conserving, managing, and promoting South Australia's Indigenous, natural, built, and cultural heritage. Founded in 1955 under an Act of Parliament, we care for historic properties, museums, collections, natural reserves, and heritage places that connect communities with their past and inspire future generations.
We are seeking a highly organised and customer-focused Reception and Administration Officer to join our team and play a vital role in supporting our members, volunteers, visitors, and staff.
About the Role
This is a diverse and rewarding position that combines administration, customer service, membership management, volunteer support, and office coordination. You will be the first point of contact for many of our stakeholders and help ensure the smooth day-to-day operation of the organisation.
Key Responsibilities
Customer Service
- Manage the administration and voicemail inboxes
- Answer incoming phone calls and respond to enquiries
- Greet and assist visitors and walk-in enquiries
- Coordinate daily mail and post office collections
- Provide timely follow-up and customer support
Memberships and Donations
- Process current memberships, renewals, and general donations
- Send renewal correspondence to members without email access
- Maintain accurate member records within the database
- Ensure proactive and professional record keeping
Volunteer Support
- Build positive relationships with volunteers across the organisation
- Maintain volunteer records within Better Impact
- Respond to volunteer enquiries and support the onboarding process
- Coordinate Working With Children Checks and National Police Check applications and record management
Office Administration
- Manage stationery, kitchen, and office supply orders
- Coordinate room set-up for committee and board meetings
- Arrange building maintenance and contractor visits
- Assist with general administrative tasks as required
- Participate in First Aid training and act as a First Aid Officer if required
About You To be successful in this role, you will demonstrate:
- Previous experience in administration, customer service, or office coordination
- Exceptional organisational and time management skills
- Strong attention to detail and accuracy
- Excellent written and verbal communication skills
- Confidence working with databases and Microsoft Office applications
- The ability to manage competing priorities and work independently
- A friendly, professional, and proactive approach
- Experience working with volunteers or within the not-for-profit sector will be highly regarded
