Receptionist - Part Time 0.6 FTE
About Us:
The Link Youth Health Service is a not-for-profit organisation providing free health and wellbeing services to young people aged 12 to 25.
The Link has been providing a range of services to young people in the CBD and surrounds of Hobart and Southern Tasmania for over 30 years, including general health and wellbeing, sexual health, alcohol, and other drugs support and, since 2012, mental health services through our headspace Hobart Centre.
The Link's vision is healthy and empowered young Tasmanians and we work towards this ambition by engaging with young people and those that support and care for them: family, friends, carers and other community organisations. We believe young people should be at the centre of care and decisions about themselves and we provide safe spaces for them to do this in a non-judgmental and consent-focused environment.
About the Role:
We are seeking an experienced Receptionist to join our team on a part-time basis, working 0.6 FTE, Monday to Wednesday.
The receptionist provides high level administrative, reception and operational support across The Link Youth Health Service and headspace Hobart, contributing to the effective delivery of accessible youth mental health and wellbeing services.
As the first point of contact for young people, families, carers and external stakeholders, you will play an important role in creating a professional, welcoming, youth friendly and family inclusive environment.
The role provides
- Reception and administrative support to young people, families, carers, clinicians, General Practitioners, allied health practitioners and management.
- Efficient appointment coordination including bookings, cancellations, rescheduling and waitlist management.
- Support with client records, referrals, correspondence, data entry and other administrative requirements.
- Response to telephone,
email and other enquiries, including service navigation in line with The Link and headspace Hobart’s “No Wrong Door” approach.
- Administrative and operational support across service areas, including shared inboxes, room bookings, supplies, mail and general office requirements.
- Appropriate escalation of clinical, complex or high-risk matters to the relevant clinician or manager.
About You
You will
- Have strong interpersonal and communication skills, with the ability to communicate in a warm, respectful and inclusive manner.
- Have strong administrative and organisational skills, with the ability to manage competing priorities within required timeframes.
- Be able to work calmly and appropriately with people who may be experiencing distress, vulnerability or complex circumstances.
- Understand the importance of qualified boundaries, confidentiality and appropriate escalation within a non-clinical role.
- Have a high level of computer literacy and the ability to quickly learn new systems and processes.
- Experience working in a medical, health, community services or customer-focused environment is desirable, including experience with medical software such as Best Practice.
- Be able to work independently and collaboratively as part of a multidisciplinary team.
Essential Requirements
Evidence of the following must be provided prior to the appointment to the position:
- A current Tasmania Working with Vulnerable People Registration
- A current National Police Check (within the past 6 months)
