Job Description
DGH is seeking a highly organised, proactive and personable Administration Officer to join our Townsville team.
n
This is an important role supporting the day-to-day administrative operations of our Townsville office. You'll play a key part in keeping our internal processes running smoothly, maintaining accurate records and documentation, supporting our local team, and coordinating with clients, contractors and external providers.

About the Role
n
Reporting to the local management team, the Administration Officer will provide comprehensive administrative support across office operations, employee onboarding, compliance, invoicing, training, travel and general coordination.
n
You'll work closely with our Townsville team, the Northern Area Manager and our Mackay HR team to ensure employees and operations are well supported and compliant with company requirements.
n
Key Responsibilities
n
n
- Build and maintain positive working relationships with clients, managers and employees.
n
- Provide general administrative support to the Townsville team.
n
- Maintain, update and accurately manage client and DGH documentation.
n
- Ensure documents and information are uploaded into business systems promptly and accurately.
n
- Maintain and update registers as required.
n
- Manage changing priorities in response to internal and external customer requirements.
n
- Coordinate uniforms and onboarding requirements for current employees.
n
- Enter and review timesheets, ensuring hours and job numbers are accurate for invoicing.
n
- Review invoices for accuracy and ensure they are appropriately approved for processing.
n
- Manage office supplies and inventory.
n
- Liaise with the Mackay HR team to coordinate onboarding requirements for employees attending site work.
n
- Maintain personnel records in Rapid Crews, ensuring employee documentation remains current for site compliance.
n
- Assist with booking and tracking local training and medical requirements for Townsville employees.
n
- Prepare and format documents, reports and correspondence.
n
- Provide front desk and reception support, including answering calls and greeting visitors.
n
- Coordinate travel, accommodation and inductions as required.
n
- Provide administrative support to the Northern Area Manager and wider team as required.
n

About You
n
To be successful in this role, you will be an organised and reliable administrator who enjoys working as part of a team and is comfortable managing a diverse range of responsibilities.
n
You will ideally have:
n
n
- Previous experience in an administration, office coordination or similar role.
n
- Strong organisational and time-management skills.
n
- Excellent attention to detail and accuracy.
n
- The ability to manage competing priorities and meet deadlines.
n
- Strong written and verbal communication skills.
n
- Confidence dealing with employees, clients, contractors and external service providers.
n
- Good computer literacy and the ability to learn new systems quickly.
n
- A proactive, flexible and solutions-focused approach.
n
- The ability to work independently while also contributing positively to a team environment.
n
- Experience with employee onboarding, compliance, timesheets, invoicing or workforce management systems will be highly regarded.
