Primary objective

Provide proactive, high-level executive administrative and coordination support to the Executive Director and leadership teams to facilitate the effective delivery of strategic, operational, governance, secretariat and corporate activities.

Key duties and responsibilities

1. Provide high level executive level assistance to the Executive Director,



including drafting correspondence, following up on actions,

preparation of minutes, coordination of meeting papers, monitoring several email accounts, screening of telephone calls and visitors, electronic diary management, and records management.
1. Coordinate, record, track and oversee the timely movement and processing of correspondence, including initiating follow up action on

Ministerial and other matters to ensure deadlines are met.
1. Anticipate the needs of the Executive Director including coordinating and providing relevant papers, briefings, reports prior to meetings

and preparing correspondence of a routine nature for the Executive Director’s endorsement or approval.
1. Monitor correspondence and calendar, conduct appropriate records management and routine procurement purchases, as necessary.
2. Provide advice and assistance to divisional staff in the preparation of high-quality documentation for the Executive Director.
3. Communication with land/local councils, Aboriginal corporations, consultants, contractors, and other government agency and non-

government representatives will be required from time to time to support the Executive Director and other division team members.
1. Undertake research and projects,



data collection, management and retrieval as directed by senior executives that may require

coordination across government agencies and/or with external parties.
1. Work as an integral part of the team to support the timely delivery of branch priorities.

Selection criteria

Essential

1. Demonstrated experience working in an administrative support role within an executive team, with a proven ability to exercise sound

judgement, particularly in respect to confidential or sensitive matters.
1. Demonstrated interpersonal and oral communication skills which result in being able to communicate professionally, tactfully and

effectively at all levels.
1. High level computer skills with experience in finance, records management and travel systems.
2. Sound writing ability, demonstrated attention to detail and accuracy and experience in the coordination of high-level correspondence.
3. Self-motivated and proactive with highly developed organisational and time management skills.
4. Ability to assess and prioritise matters to effectively manage multiple tasks with competing deadlines while working autonomously in

a fast-paced environment.
1. Ability to use initiative and be creative and flexible in response to achieving outcomes to undertake basic research and make

recommendations regarding appropriate action to senior officers.
1. Experience in financial management, procurement, human resource, recruitment and records management practices.

Desirable

1. Tertitary qualification in Business or Management.
