About the Opportunity Working closely with our Chief Executive Officer and Board of Directors, and reporting to the General Counsel and Company Secretary, you will be responsible for:
Key Responsibilities The Board Assistant is accountable for:
Coordinate end-to-end meeting cycles, complex diary management, room setups, video calls, and thoughtful agenda creation
Collaborate with senior stakeholders to curate, assemble, and distribute polished board packs on Diligent in a timely, stress-free manner
Attend Board and Committee meetings to capture explicit, precise minutes, tracking resolutions and action items on Diligent
Maintain statutory registers and ACNC updates with complete confidentiality and discretion
Support welcoming, high-touch onboarding experiences and ongoing engagement for incoming Board members
Work closely with Executive General Managers, Board Directors and other senior leaders to support the preparation and execution of internal committees

About You To be successful in this role, you will be an experienced Executive Assistant or senior administration professional who has prior experience in the coordination of Board and executive committee matters.
You must also be confident in operating at a senior level and managing sensitive and complex matters.
You will bring:
5+ experience supporting Board Directors, executives and senior leaders
Proficiency in and prior experience with Diligent board management, Google suite, Microsoft Teams and SharePoint
Exceptional organisational skills with the ability to manage competing priorities and deadlines
Strong written and verbal communication skills, with the ability to prepare professional materials for senior audiences
High attention to detail and strong ownership of follow-through
Excellent judgement, discretion and the ability to handle confidential, privileged and commercially sensitive information
A proactive, pragmatic and solutions-focused approach
Experience within not for profit, faith based professional services or a large corporate environment will be highly regarded
Working with Children Check (Employee) or willing to obtain
