We are looking for an experienced, friendly and motivated Senior Medical Administration Support team member to join our busy, specialised GP clinic.

This is a fully remote role supporting a close-knit and supportive team. You will work across emails, phones, patient communication, administration and occasional projects, within a specialised GP environment.

Our clinic operates a little differently from a traditional GP practice, so this is a great opportunity for someone who enjoys learning, is open to new processes and likes taking responsibility and having variety in their role.

About you

We are looking for someone who is:

- Hard-working, reliable and genuinely enjoys being productive

- Willing to learn and comfortable picking up current processes and systems

- Someone who naturally takes initiative and looks for ways to help

- Confident working independently while also knowing when to ask questions

- Organised and able to manage their time and workload well

- Comfortable working with a high volume of emails and phone enquiries
- A strong written communicator

- Calm, patient and professional when communicating with patients who may be stressed or frustrated

- Comfortable with some repetitive administration while maintaining accuracy and consistency

- Able to manage multiple tasks and priorities at once

- Comfortable taking ownership of projects or tasks that are assigned to you

- Interested in taking on the responsibility of being a senior member of the administration team

- Experience working within veterans' health or with DVA is highly regarded

- Experience with Best Practice Software highly regarded

About the role

Your day-to-day work will include:





- Managing a high volume of emails

- Answering and managing phone enquiries

- Communicating with patients and healthcare professionals

- Completing general administrative tasks

- Following specialised medical and DVA processes

- Learning and applying new systems and procedures

- Managing and prioritising your own workload

- Working closely with the wider administration and clinical teams

- Supporting other team members where needed

- Escalating questions or issues appropriately

- Taking ownership of tasks from start to finish

- Assisting with projects and process improvements as required

From time to time, you may also be given a specific project to coordinate. This could involve organising tasks, communicating with team members, keeping track of progress and making sure the project is completed within the required timeframe.

You don't need to be a formal project manager, but you should be someone who is organised, can follow something through from beginning to end and is comfortable taking ownership of a project once it has been given to you.

Working remotely

As this is a fully remote position, being comfortable working independently is important.

You will receive training and ongoing support from the team, particularly while learning our processes. Once you are comfortable with the role,



we are looking for someone who can take ownership of their work, use their initiative and confidently work through their day.

We have a very supportive team environment, and we want someone who feels comfortable asking questions, learning from others and becoming a trusted senior member of the team.

We don't expect you to know everything from day one. What is important to us is that you are willing to learn, ask questions when you need help and then apply what you have learnt independently.
