The Organisation
This is a positive opportunity for an experienced Site Administrator to join a lovely team on site. They require someone to provide efficient and effective administrative support to cover leave.
Duties and Responsibilities
This is a very varied position, and the duties will be but are not limited to the following:
- Materials handling, records management, security, wellness, and transportation services.
- Respond to enquiries, maintain confidentiality, and handle incoming calls, forwarding to the appropriate personnel.
- Assist employees, contractors, and visitors with general administration inquiries ensuring smooth operations.
- Collate, prepare, and submit monthly reports and documentation to relevant site personnel and the Perth office.
- Ensure accurate submission of timesheets, site roster entries, contractor PO/invoice approvals, and leave processing for payroll.
- Manage office supplies, keys, stock registers, mail distribution, and maintain confidentiality where needed.
- Assist with onboarding and offboarding of personnel, relocation, pre-tenant inspections, creating welcome packs and documentation.
- Oversee daily operations of the shop, tavern, including deliveries, stock management and procurement.
- Responsible for opening and closing the shop, stocking shelves to maintain a neat layout, and serving customers when required.
- Conduct safety inspections,
implement hazard controls, and contribute to process improvements for efficiency.
- Serve as BASE for airport duties radio communications, at time complete airport inspections and maintain communication with charter service provider.
- Maintain accommodation/messing schedules, reconcile cash/float balances, and flight bookings as requested.
- Assist with event planning, set up, and support company functions while contributing to the improvement of town processes.
- Other duties as directed by the Administration Supervisor
Skills and Experience To be successful in this role, you will need the following:
- Previous site administration experience is essential
- Enjoy working in a close-knit team in an open plan working environment
- Proactive, well-organised, with the ability to work autonomously
- Maintain good working relationships with internal and external stakeholders
- Be achievement-orientated well, disciplined, and task-focused with a strong sense of timeliness
- An ability to prioritise tasks effectively and produce quality work
- Excellent interpersonal communication skills
- Positive can-do attitude
- Sound IT skills and report writing skills
- West Australian Drivers Licence
