As an integral member of a small specialist surgical practice team, you will manage the front-desk experience and smooth day-to-day administration of the practice. You will be replacing a retiring member and joining an established receptionist in the team. The practice is a 2 surgeon specialist surgical practice located in the John Flynn Hospital, Tugun, and prides itself on a supportive, warm, and exceptionally stable team environment.

Key responsibilities Welcome patients warmly, manage phone inquiries from clients, GPs, and specialists, and provide comforting, professional care under pressure

Efficiently manage cloud-based electronic files via Gentu software, process incoming doctor referrals, and schedule specialist appointments

Coordinate and book surgeries as requested by the Surgeons, liaise directly with hospitals and anaesthetists, and manage pre-admission, consent, and follow-up paperwork

Provide Informed Financial Consent (IFC) to patients in writing

Process complex specialist billing including EFTPOS, Medicare, DVA, WorkCover, and private health funds via Eclipse

Maintain and order stationery and medical stock

Handle general practice correspondence including typing, scanning, and filing

Assist with small shared clinic tasks such as managing linen, cleaning and tidying to ensure efficient practice operations





About you Proven experience working as a medical receptionist, ideally within a specialist medical practice

Proficiency in Gentu software is valued, but exposure to other medical software with a capacity to adapt to Gentu is also recommended.

Strong knowledge of medical billing, specifically Eclipse health fund billing and Medicare and WorkCover guidelines

A deep understanding of medical confidentiality and privacy principles

A kind, empathetic, and professional communication style will be appreciated by our patients

Following the upcoming retirement of a valued, long-term team member, we are seeking a dedicated and experienced Specialist Medical Receptionist to join our close-knit family.

We are hoping for a start in mid to late October to allow for some on-boarding with the retiring person.
