We are looking for an exceptional Probate Assistant / Paralegal to join Rennick & Gaynor, a boutique law firm located in Hawthorn East (and Geelong).

In this role, you will provide direct support to the Wills & Estates team, contributing to the smooth coordination of all probate administrative functions across all matters.

Key Responsibilities

n

n
- Provide dedicated support to two special counsel and one solicitor
n
- Preparing applications for grants of Probate and Letters of Administration
n
- Correspondence with clients, beneficiaries, financial institutions and other organisations in a professional and timely manner
n
- Drafting documents for estate planning, including Wills and Enduring Powers of Attorney
n
- Stay closely involved in matters to coordinate deadlines, tasks,



file management, court filings, and registrations
n
- Coordinate internal matters, client communications, and track progress across files
n

What We're Looking For

- 5+ years' experience in a Probate/Legal Assistant, Executive Assistant, or Paralegal role
n
- Excellent organisational ability, strong initiative, and confidence working autonomously
n
- Clear, professional, and effective communication skills
n
- A friendly, approachable, and confident manner
n
- Comfortable working with all stakeholder levels and clients, balancing multiple priorities
n
