We are a busy, premium European vehicle workshop in Bondi Beach looking for a switched-on, energetic and organised person to support the daily flow of vehicles, parts, customers and workshop operations.

This is a varied operational role combining desk-based coordination with hands-on work throughout the workshop and between sites. You need to be comfortable working on a computer, communicating with customers and suppliers, and then getting up and moving vehicles, parts or equipment as required.

This is not a mechanic or trade assistant position. Our qualified technicians and workshop assistants carry out the mechanical work. This role focuses on workshop operations, vehicle flow, parts, coordination and communication.

We are looking for someone who can take ownership, work with urgency and move efficiently between multiple priorities throughout the day.

What You'll Be Doing

Workshop Operations & Vehicle Flow

- Coordinate vehicle positioning based on workshop workflow, bookings and customer requirements
- Move vehicles in and out of the workshop, around the yard and between sites as required
- Monitor vehicle flow and help prevent workshop and car-park bottlenecks
- Coordinate vehicle readiness, collections and after-hours releases
- Check completed vehicles for quality, presentation and readiness before customer handover
- Assist with vehicle preparation, cleaning and washing where required
- Transfer vehicles, parts, equipment and other items as required

Parts, Ordering & Logistics

- Check and coordinate inbound parts and deliveries
- Order parts and routine stock as required
- Allocate parts to the appropriate jobs and technicians
- Follow up suppliers regarding availability, incorrect parts, outstanding orders and delivery ETAs
- Handle parts returns and follow up supplier credits
- Track orders and help ensure jobs are not delayed because parts have been overlooked

Administration & Coordination

- Work comfortably between a computer/desk and the workshop throughout the day
- Assist with job cards, customer notes, ordering, invoices and general administration
- Prepare and send emails and messages
- Make and receive phone calls
- Communicate with customers, suppliers,



team members and other business partners or stakeholders
- Assist with scheduling and workflow coordination
- Maintain accurate records and follow tasks through to completion

Customer & Team Communication

- Provide customers with updates where appropriate
- Discuss vehicle status, timing and other straightforward matters with customers as required
- Communicate clearly between the front office, workshop floor and back office
- Support customer arrivals and collections when required
- Build rapport and contribute to a professional, high-quality customer experience

What We're Looking For

- Fast-moving, energetic and able to work with a sense of urgency
- Comfortable handling multiple tasks and changing priorities throughout the day
- Comfortable working both at a computer and on the move
- Good communicator in person, by telephone and in writing
- Strong attention to detail and follow-through
- Practical, organised and able to take ownership of tasks
- Confident dealing with customers, suppliers and other team members
- Comfortable working in and around vehicles in a busy automotive environment
- Fluent English, spoken and written

Requirements

- Current driver's licence – essential
- Comfortable driving a variety of vehicles
- Basic computer skills including email, Microsoft Office/Excel and the ability to learn workshop/CRM systems
- Full time availability
- Able to perform an active role involving regular walking, standing, vehicle movement and general workshop activity

Manual driving experience is preferred but not essential. Preferred – Not Essential

Experience in one or more of the following would be advantageous:

- Automotive workshops
- Vehicle rental or fleet operations
- Parts or automotive parts interpretation
- Warehousing or logistics
- Workshop or service coordination
- Customer service
- Administration within a fast-moving operational business





Candidates living locally in the Eastern Suburbs / Inner City are preferred.

Job Type: Full-time

Pay: $65,000.00 – $120,000.00 per year
