About the role

We are seeking a talented and organised Financial Planning Assistant to join our team in Rockhampton, QLD on a full-time or part-time basis. This is a multifaceted position that sits at the heart of our operations, providing essential support to our financial planners whilst delivering exceptional customer service to our clients. You will play a crucial role in ensuring the smooth running of our office and contribute directly to the success of our financial planning services. Key responsibilities

- Provide comprehensive administrative support to financial planners, including scheduling appointments, managing calendars and coordinating client meetings
n
- Deliver outstanding customer service to clients via telephone, email and in person, responding promptly to enquiries and resolving issues professionally
n
- Prepare and maintain client files, documentation and records in accordance with regulatory requirements and company procedures
n
- Process client requests, applications and financial documents accurately and efficiently
n
- Data entry and maintenance of client management systems and databases
n
- Coordinate and organise meetings, events and client communications
n
- Support the financial planning team with document preparation, proofreading and distribution
n
- Handle general office administration including mail management, filing and office supplies ordering
n
- Assist with compliance-related tasks and ensure adherence to financial services regulations
n
- Perform additional duties as required to support the smooth operation of the business

What we're looking for

- Proven experience in an administrative, customer service or similar support role within a professional environment
n
- Solid organisational and time management skills with the ability to prioritise multiple tasks
n
- Excellent written and verbal communication skills with a professional demeanour
n
- Proficiency in Microsoft Office applications (Word, Excel, Outlook) and general IT competency
n
- A genuine commitment to providing exceptional customer service

- Attention to detail and accuracy in all aspects of work

- Ability to work both independently and as part of a collaborative team

- Reliability, discretion and professional integrity when handling sensitive client information
n
- Customer relationship management (CRM, X-Plan) system experience is desirable
n
- Knowledge of financial services or the financial planning industry is advantageous but not essential
