Patient Experience Coordinator (Dental & Allied Health Receptionist)
You're the first person our patients meet
You're the sort of person who notices things. The patient in the waiting room who's gone quiet. The form that hasn't come back. The call that needs returning before the end of the day.
You like people, and you like order. You've probably been the one at work who quietly holds the front desk together, and you've wondered what it would look like to do that in a practice that actually names the job and backs you in it.
That's the role we're advertising.
What you will be doing
You will run our front desk at Cooranbong: phones, bookings, check-ins, payments and health fund claims. That's the core of it.
Around that, you will own the patient's experience end to end. Welcoming new patients in a friendly and professional manner. Following up the treatment someone meant to book and forgot. Running recalls. Asking patients for feedback. Making sure nobody falls through a crack.
You will also coordinate our mobile healthcare service, which visits aged care facilities in the area. That part is emails and phone calls booking the visit days, confirming resident lists with facility staff, chasing consent forms, keeping families in the loop, and getting the invoicing completed afterwards.
Think of the van as another chair that happens to be on wheels.
Next door will be the Watagan Health Hub, our future allied health clinic. Its reception will run off the same desk, so you will take those calls and bookings too. The patients get one friendly voice across the group rather than being bounced between numbers.




And you'd look after our social media. Posting to an agreed plan, sharing what's happening in the practice and out in the community, and responding to any comments
What are we like
We're a local practice in Cooranbong with dental, allied health and a mobile service into aged care. Small enough that you'll know every patient's name, busy enough that no two days look the same.

What you will bring
We would love you to have:
A warm, calm manner with people, on the phone and face to face
Follow-through. If you say you'll do it, it gets done
Clear writing, since you'll email families and aged care facilities
Positive organisation, because you'll juggle the front desk with coordination work
Confidence with computers, and a willingness to learn new systems
Nice to have, but not essential:
Dental, medical or allied health reception experience
Health fund, Medicare, CDBS or DVA claiming
Experience running a business Facebook or Instagram page
A current Working With Children Check, or willingness to get one
