About the job
n
Reporting to the Chief Strategy & Operating Officer, the primary purpose of the position is to coordinate and manage the day-to-day administrative and office operations of Rhombus Enterprises.
n
The role will coordinate office systems, personnel, facilities, records and service standards to support efficient day-to-day operations.
n
Key responsibilities
n
n
Plan, review and improve office services, administrative systems, procedures and service standards.
n
Coordinate daily office operations, facilities, workspaces, equipment and supplies.
n
Manage office records, correspondence, invoices, expenses and reporting in coordination with finance and HR personnel.
n
Liaise with executives, advisers, professional teams and service providers to coordinate office activities and resolve operational issues.
n
Assist HR with coordination of personnel administration, including recruitment, onboarding, leave, training and performance review processes.
n
Coordinate meetings, travel, events, workplace access, security and business continuity arrangements.
n
Ensure office operations comply with applicable legislation, company policies and procedures, including work health and safety, privacy and information security requirements.
n
Provide administrative support to senior management and assist with special projects from time to time.
n

What you will bring
n
n
An AQF Associate Degree, Advanced Diploma or Diploma in Business Administration, Management or a related field, or at least three years of relevant experience.
n
Demonstrated office management experience, preferably in financial or professional services.
n
Experience within the Australian Services Financial Licensees and ACL required.
n
Experience coordinating facilities, records, suppliers and office expenditure.
n
Strong organisational, prioritisation and problem-solving skills.
n
Sound knowledge of work health and safety, privacy, information security and office compliance requirements.
n
Strong communication and stakeholder management skills.
n
High level of discretion, judgement and attention to detail.
n
Proficiency in Microsoft 365 and office administration, document management and collaboration systems.
n
n
