Job Description
The Dispatch Coordinator is responsible for ensuring the safe, efficient, and reliable delivery of Clover Pipelines' products across Queensland and the Northern Territory.
This role coordinates daily transport operations, schedules deliveries, communicates with drivers and customers, and resolves delivery issues to ensure projects are completed on time.

Purpose of the Role
The Dispatch Coordinator is responsible for ensuring the safe, productive, and reliable delivery of Clover Pipelines' products across Queensland and the Northern Territory.
This role coordinates daily transport operations, schedules deliveries, communicates with drivers and customers, and resolves delivery issues to ensure projects are completed on time.

Key Responsibilities
Dispatch & Operational Coordination
Coordinate daily dispatch activities, ensuring all orders are accurately scheduled, prioritised, and delivered on time.
Allocate loads to Clover drivers and external transport providers, maximising fleet utilisation and resources.
Prioritise urgent deliveries and communicate schedule changes promptly.
Complete the following day's delivery schedule before close of business where practical
Route & Delivery Planning
Plan efficient delivery routes to minimise freight costs and maximise productivity.
Consider site access restrictions, delivery windows, permits, and customer requirements.
Coordinate interstate and regional deliveries where required.




Confirm customer delivery times and site readiness before dispatch.
Driver & Stakeholder Communication
Maintain clear communication with drivers, warehouse staff, sales teams, and customers.
Provide real-time updates on delivery status and operational changes.
Liaise with transport providers to resolve scheduling conflicts and delivery issues.
Delivery Tracking & Issue Resolution
Monitor deliveries throughout the day and proactively manage delays, breakdowns, and site issues.
Escalate critical issues to management with recommended solutions.
Ensure customers are kept informed of any delivery changes.
Documentation & Compliance
Process dispatch documentation, including manifests, delivery dockets, consignment notes, and transport records.
Ensure MYOB dispatch transactions are completed accurately and promptly.
Maintain compliance with Chain of Responsibility (CoR), Workplace Health and Safety (WHS), Heavy Vehicle National Law (HVNL), and company procedures.
Customer Service
Act as the primary point of contact for delivery enquiries.
Build strong relationships through reliable communication and responsive service.
Work closely with Internal Sales and the Warehouse Team to ensure customer expectations are met.
Skills & Experience
Essential
Previous experience in transport, logistics, or dispatch.
Strong organisational and time management skills.
Excellent communication and problem-solving abilities.
Ability to manage multiple priorities in a fast-paced environment.
Competent using MYOB and Microsoft Office.
Desirable
Experience within the civil construction or pipeline industry.
Knowledge of Chain of Responsibility (CoR) and heavy vehicle transport requirements.
Experience coordinating external freight providers.
