Experienced Client Engagement & Appointment Coordinator

We are seeking an experienced Client Engagement & Appointment Coordinator to join Canopy Financial Group on a contract basis. This role is located in Abbotsford, VIC **** . Your role will be to contact prospective and existing clients to arrange meetings & reviews for the financial planner and financial educator.

Key responsibilities
n
Make outbound calls to warm and relatively cold contacts
n
Book appointments with our financial planner or financial educator
n
Maintain detailed and accurate records of all client interactions, appointments, and engagement outcomes in company systems
n
Manage client enquiries and concerns, providing timely responses and escalating issues appropriately
n
Prepare appointment reminders and send proactive communications to clients ahead of scheduled meetings
n
Monitor appointment confirmations and manage cancellations or rescheduling requests efficiently
n
Collaborate with internal teams to ensure coordinated client engagement and consistent messaging
n
Identify opportunities to improve client engagement processes and suggest process enhancements
n
Follow approved scripts, privacy and compliance requirements
n
Provide regular reporting on appointment scheduling metrics and client engagement outcomes
n
What we're looking for
n




Proven experience in outbound calling, appointment setting, telesales or client engagement.
n
A con fident, warm and professional telephone manner
n
Proven ability to build rapport ands convert conversations into appointments
n
Proficiency with appointment scheduling systems, CRM platforms, and Microsoft Office applications
n
Robust objection-handling and follow-up skills
n
Ability to work independently whilst maintaining accuracy and attention to detail in record-keeping
n
Experience in data entry and maintaining confidential client information securely
n
A customer-focused mindset with the ability to balance client needs with business objectives
n
Experience in financial planning, wealth management, superannuation, property, insurance or professional services will be highly regarded.
