This is a senior front-of-house and operational role suited to someone with a background in Human Resources and/or Management who can confidently manage people, systems, and performance in a fast-paced clinical environment. You will play a critical role in ensuring the practice operates efficiently, the clinical team is fully supported, and patients receive an exceptional standard of care.
Key responsibilities
Provide leadership and oversight of reception and front-of-house operations, ensuring professional communication, responsive patient service and effective resolution of enquiries and complaints.
Oversee appointment scheduling, clinic capacity, daily workflows and operational readiness to support efficient practice operations and optimise appointment books.
Coordinate administrative and operational support for the clinical team, Clinical Director, Sleep Laboratory and Pulmonary Function Laboratory.
Oversee the development and continuous improvement of practice systems, procedures and workflows, including Genie functionality, patient record management, compliance requirements and internal audits.
Oversee clinic billing, banking, financial administration and reporting, ensuring accuracy, timeliness and appropriate financial controls.
Lead recruitment, onboarding, training, rostering, leave management and performance management while promoting a positive, productive and accountable workplace culture.
Oversee general administrative functions, office resources, incoming communications, task delegation and follow-up, and coordinate and chair practice meetings as required.
Must-have Skills & Experience
Demonstrated experience as a Practice Manager or Senior Manager within a specialist or multidisciplinary medical practice is essential.
Proven ability to lead, motivate, support, and develop diverse clinical and administrative teams,



fostering a positive, collaborative, and high-performing workplace culture.
Extensive experience across the employee lifecycle, including workforce planning, recruitment, staff rostering, onboarding, training, development, performance management, and staff retention for practice teams.
Strong knowledge of medical practice operations, healthcare administration, privacy requirements, health records management, and relevant legislation and regulatory obligations.
Exceptional interpersonal and relationship-management skills, with the ability to communicate effectively (both written and verbally) and build strong working relationships with medical specialists, clinical and administrative staff, patients, suppliers, and other external stakeholders.
Strong analytical and problem-solving skills, with a practical and proactive approach to identifying operational challenges, implementing effective solutions, and driving improvements in practice efficiency and service delivery.
Desired Skills & Experience
Professional qualifications in healthcare management, human resources, business administration, or a related discipline are highly regarded, supported by relevant experience in medical practice management.
Strong working knowledge of medical practice management systems, particularly GENIE, together with payroll and financial systems such as Xero.
Comprehensive understanding of Medicare requirements, MBS item numbers, private billing, fee structures, invoicing,



and billing processes, with the ability to ensure accurate and compliant financial practices.
Highly organised with excellent time management skills and the ability to effectively prioritise and manage competing demands in a busy medical practice environment.
Key Accountabilities
This role requires strong leadership, attention to detail, and the ability to anticipate needs, solve problems, and continuously improve systems and processes. You will also take ownership of key performance outcomes across the practice.

The practice currently has six specialist consultants specialising in Respiratory and/or Sleep Medicine, Respiratory Function Testing Lab, In-Laboratory Sleep Centre, CPAP clinic with a team of 20 including Medical Technicians, Administration and Management.
