Own the patient journey from enquiry to treatment. A commercially focused dental coordination role driving bookings, treatment acceptance and growth.
Revenue-focused role with genuine ownership of leads and patient conversion
Work directly with clinicians and marketing to grow treatment bookings
Ideal for an experienced dental coordinator who loves people, follow-up and results
About the role
Smilogy is looking for a commercially minded Treatment & Patient Coordinator to take ownership of one of the most important parts of our business: turning patient interest into booked and completed treatment.
This is not a traditional dental reception or administration role.
It is a hands-on growth role responsible for managing patient enquiries, following up treatment opportunities, improving treatment acceptance, filling available appointment capacity and making sure valuable leads do not disappear through lack of follow-up.
You will work closely with our clinicians, operations and marketing teams and take responsibility for the patient journey from the first enquiry through consultation, treatment acceptance and booking.
The goal is simple: create an outstanding patient experience while helping Smilogy grow.
What you will be responsible for
Responding quickly to new patient enquiries across phone, email and digital channels
Speaking with prospective patients, understanding what they are looking for and guiding them to the right appointment
Managing the lead and treatment prospect pipeline
Following up patients after consultations and treatment plan presentations
Helping patients understand treatment options, next steps, timing and payment arrangements
Proactively following up patients who have not yet proceeded with recommended treatment
Re-engaging previous enquiries and patients with outstanding treatment

Ensuring every active opportunity has a transparent next action and follow-up date
Working with clinicians to identify treatment opportunities requiring follow-up
Monitoring appointment books and helping fill cancellations and unused clinical capacity
Supporting strong diary utilisation across our clinicians
Tracking enquiry volumes, appointments, treatment acceptance and conversion
Working with marketing to understand which campaigns and lead sources are producing results
Maintaining accurate CRM and practice management records
Providing visibility over the sales and treatment pipeline to management
Identifying barriers that are preventing patients from proceeding and helping find practical solutions
There will also be an operational component to the position, including clinician scheduling, coordination and reporting across Smilogy's clinics and other dental services. The existing role already includes responsibility for progressing leads and opportunities, monitoring conversion and improving appointment utilisation.
What success looks like
Enquiry-to-appointment conversion
Treatment acceptance
Value of treatment booked
Follow-up completion
Reactivation of existing opportunities
Reduction in unfilled clinical capacity
Clinician diary utilisation
Accuracy and visibility of the treatment pipeline
Patient experience and communication
The person we are looking for
You are confident talking to people and comfortable having conversations about treatment, cost and decision-making.
You enjoy following things through.
If a patient says,

"I need to think about it", your instinct is not to close the file and hope they call back. You understand when and how to follow up professionally and help the patient make a decision.
You will probably be someone who
Builds rapport quickly
Communicates confidently on the phone
Is comfortable working toward targets
Enjoys sales without being pushyUnderstands the importance of consistent follow-up
Is organised and able to manage a large number of active opportunities
Takes ownership rather than waiting to be told what to do
Notices gaps and opportunities
Enjoys seeing measurable results
Works well with clinicians
Is comfortable with systems, CRM workflows, spreadsheets and reporting
Has strong attention to detail
Dental experience would be highly regarded.
You may currently be working as a:
Experience with high-value dental treatment such as clear aligners, crowns, veneers, implants or dentures would be particularly valuable.
However, we are equally interested in someone with strong consultative sales and customer service experience who has the right personality and commercial mindset.
About Smilogy
Smilogy is a growing Australian dental business operating private dental clinics alongside aged care and community dental services.
Our private clinics provide a broad range of treatment including general dentistry, transparent aligners, crowns, veneers, dentures and cosmetic dentistry.
We are investing in marketing and technology to generate more patient opportunities.
The next step is to make sure we have someone dedicated to converting those opportunities into treatment.
That is where this role comes in.
Why join Smilogy?
This is an opportunity to take ownership of a function rather than simply fill an administrative position.
