Executive Assistant to Senior Property Manager
About the role
Strzelecki Holdings Pty Ltd is seeking an Executive Assistant to Senior Property Manager to join our team in various locations including Sorrento and Morley, WA. This is a full-time position offering an exciting opportunity to provide high-level administrative and secretarial support to our Senior Property Manager. You will be instrumental in ensuring the smooth operation of the property management function, managing calendars, coordinating meetings, and handling sensitive communications. This role is based on-site in Morley and offers the chance to work in a fast-paced, professional environment where your organisational skills and attention to detail will be highly valued.
Key responsibilities
Managing the Senior Property Manager's calendar, scheduling appointments, meetings and conferences with internal and external stakeholders
Preparing and maintaining comprehensive briefing materials, reports and presentations for senior management
Handling confidential correspondence and ensuring appropriate follow-up and distribution
Coordinating property-related documentation, contracts and compliance materials
Providing support for property inspections, tenant communications and facility management matters
Liaising with internal departments and external parties including contractors, vendors and regulatory bodies
Managing databases and filing systems for property records and documentation
Supporting the preparation of financial reports and budget-related documentation
Handling administrative projects and special assignments as required
What we're looking for
Proven experience as an Executive Assistant, Personal Assistant or similar secretarial role, ideally supporting senior-level management
Strong organisational and time management skills with the ability to prioritise multiple tasks and meet deadlines
Excellent written and verbal communication skills with a professional demeanour
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with scheduling and database management software
Ability to maintain confidentiality and handle sensitive information with discretion
Strong interpersonal skills with the ability to build effective working relationships across all levels
Attention to detail and commitment to accuracy in all tasks
Proactive approach with the ability to work independently and use own initiative
Experience in a property management or real estate environment is advantageous
Willingness to support the team and adapt to changing priorities
