Medical Reception/Customer Service- Audiology practice
Hear Check is an independent audiology practice providing personalised, evidence-based hearing care on the Sunshine Coast. We are seeking an
experienced, capable and highly dependable Senior Patient Care Coordinator
to take ownership of our front-of-house operations and support excellent patient care and the effective use of our Audiologists' clinical time.
This role would suit someone who brings
solid workplace experience, sound judgement and confidence working independently
, while also being genuinely comfortable with technology.
This is not a passive reception role.
It is a hands-on coordination position for someone who notices what needs to be done, acts within their authority, follows tasks through to completion and raises emerging problems before they disrupt patient care or clinicians.
The role
You will be responsible for the reliable day-to-day operation of front of house, including:
Providing warm, professional and attentive patient service
Managing telephone, reception and administrative enquiries and bookings
Actively reviewing and coordinating Audiologists' appointment diaries
Identifying diary gaps, cancellations, booking errors and preparation requirements
Using recall lists, waiting lists and cancellation processes to improve appropriate appointment utilisation
Processing claims, payments, correspondence, referrals and routine patient administration
Pairing and reconnecting hearing aids to patients' smartphones, including both iPhone and Android devices, and assisting with manufacturer apps
Confidently moving between different phone types, Bluetooth settings and apps to resolve routine connection issues




Supporting the Director and Audiologists by resolving routine issues independently
Maintaining transparent handovers and helping strengthen front-of-house systems
Maintaining clear, positive communication between front of house, the Director and Audiologists
About you
We are looking for someone with
more workplace experience and rather than a typical entry-level or student reception role
, while still being
tech savvy, adaptable and comfortable learning new systems
.
You are likely to have experience in medical reception, allied health, dental, specialist consulting or another complex appointment-based service environment.
You will bring:
Demonstrated experience managing busy appointment diaries, cancellations, recalls, waiting lists or customer follow-up
The confidence and judgement that comes with previous workplace experience, including the ability to work independently without needing constant direction
Excellent attention to detail and a reliable system for tracking follow-ups
Robust technology confidence — you should be comfortable learning new software, navigating smartphone settings and apps, and troubleshooting routine technology issues
Confidence using both iPhone and Android smartphones, including Bluetooth connections and manufacturer applications
Warm, respectful and patient-centred communication
Reliability, punctuality and consistent follow-through




A genuine interest in growing with the business, supporting a team and improving the way work is done
Audiology or hearing-device experience is desirable but not essential.
Appropriate training will be provided for our systems, booking pathways and approved hearing-device support tasks.
What is important is that you are
comfortable with technology and willing to get hands-on with it
. Patients may need help connecting their hearing aids to their phone, navigating an app or resolving a straightforward Bluetooth connection issue. You don't need to be an audiologist or a technical specialist — but you do need to be the person who is happy to work through the problem calmly and confidently.

Employment arrangements
Approximately ***** hours across four regular days per week
Remuneration based on experience and the applicable classification under the Health Professionals and Support Services Award ****- negotiated depending on level and experience.
