About the role
Due to continued growth, RMA Sport is seeking an organised, proactive and customer-focused Operations Administration Assistant to join the team in Seven Hills. This is a varied role that provides essential administrative and coordination support across operations, including installations, safety audits, parts, repairs, maintenance and warranty work. Working closely with the Operations Coordinator, customers, technicians, suppliers and internal teams, you will help ensure jobs are well organised, information is communicated clearly and projects progress smoothly from scheduling through to completion and handover.
Key responsibilities
Prepare and submit Safe Work Method Statements (SWMS), RFIs and other project documentation
Administer handover and project documentation
Coordinate bookings including accommodation, travel, lifts, bins, concrete and other services
Arrange the off-hire of plant and equipment as required
Maintain accurate records and ensure documentation is completed in accordance with company processes
Respond to general customer enquiries and ensure enquiries are followed up appropriately
Arrange spare and replacement parts required for installations
Monitor parts orders and confirm their arrival before technicians are scheduled to attend site
Assist with arranging technicians, parts, materials and other resources required to complete works
Provide administrative support to the Managing Director and Operations team as required
About you
Strong proficiency across the Microsoft Office Suite
Excellent written and verbal communication skills
Strong time management and organisational skills
Excellent attention to detail and a high level of accuracy
The ability to effectively manage multiple tasks and competing priorities
A practical and solutions-focused approach to problem solving
The ability to think ahead, identify potential issues and take initiative
An interest in continuous improvement and finding better ways of doing things
The ability to build positive relationships with customers, technicians, suppliers and colleagues
A willingness to learn and develop knowledge of products, parts, systems and operational processes
Experience working in a construction, building, engineering, manufacturing or related industry will be highly regarded.
Experience with project, contract or operations administration will be advantageous.
