Job Description
Are you exceptionally organised, great with spreadsheets and the type of person who loves keeping everything on track?
n
We are an established residential building company delivering custom homes, renovations and extensions across Sydney and are looking for a Project Administrator / Project Coordinator to join our Hills District office.
n
Construction experience would be fantastic - but for this position, we're equally interested in finding the right person who is capable, organised and keen to learn.
n
You'll work alongside experienced construction professionals and become involved in the day-to-day coordination of our residential building projects.
n
What You'll Be Doing
n
Your responsibilities will include:
n
n
Assisting with quoting and tender preparation
n
Requesting and following up supplier and subcontractor quotations
n
Assisting with project and contract documentation
n
Maintaining project spreadsheets and registers
n
Assisting with procurement and ordering
n
Obtaining client and architect approvals for selections
n
Preparing orders and arranging supplier deliveries
n
Tracking expected delivery dates and following up suppliers
n
Coordinating information with our onsite team
n
Preparing variation documentation for review
n
Tracking signed and outstanding variations
n
Recording deposits, project costs and items to be included in progress claims
n
Assisting with progress claim preparation
n
Updating project information in Excel
n
Assisting with Xero and general project financial administration
n
Following up clients, architects, suppliers and subcontractors for outstanding information
n
General project administration and support to our construction team
n

Who Would Suit This Role?
n
We're looking for someone who is:
n
n
Extremely organised
n
Confident using Excel and spreadsheets
n
Comfortable using Xero or willing and able to learn it quickly
n
Good with numbers
n
Detail focused
n
A solid written and verbal communicator
n
Comfortable following people up when something is needed
n
Able to manage multiple tasks and deadlines
n
Quick to learn new systems
n
Proactive rather than waiting to be given every next step
n
n
Previous experience in construction, building, architecture, property, accounts, procurement or project administration would be highly regarded, but isn't essential for the right person.
n
Full-Time OR School-Hours Opportunity
n
We understand that some highly capable people don't necessarily want or need a traditional full-time role.
n
We are therefore open to:
n

Full-time
n
4 days per week
n
3-5 days per week
n
Part-time
n
School-hours arrangements
n
n
This could particularly suit an experienced administrator, project coordinator or accounts professional looking to return to the workforce or find a position that better fits around family commitments.
n

This isn't a role where you'll spend every day doing the same repetitive administration. You'll become genuinely involved in our projects and learn how a residential build is managed from the office through to site.

Location: Hills District, Sydney

Hours: Full-time or flexible part-time arrangements available
n
