We are currently seeking an experienced
Contract Administrator
to join our growing team and manage supplier and customer contracts, tenders, and procurement agreements that support our expanding operations.
About the Role
Reporting to management, the Contract Administrator will be responsible for the preparation, negotiation, administration, and management of contracts across our supply chain — including supplier agreements, customer service contracts, aged care facility supply arrangements, and tender submissions. This is a key role ensuring our contractual arrangements are compliant, commercially sound, and effectively administered from initiation through to completion.
Key Duties and Responsibilities
Prepare, interpret, maintain and review contracts with equipment suppliers, manufacturers, importers and freight/logistics partners
Prepare and administer supply agreements with healthcare providers and NDIS customers
Negotiate contract terms and variations with suppliers and customers, including pricing, delivery, warranty and service-level terms
Respond to contract-related inquiries from internal teams, suppliers and customers, and resolve contractual problems and disputes as they arise
Review, negotiate and process variation requests, renewals and extensions to existing supplier and customer agreements
Analyse and assess risk within contract terms and conditions, and elevate significant risks to management
Prepare quotation documentation for aged care and healthcare supply contracts, including government and institutional panel tenders
Maintain contract registers, correspondence files and documentation in line with company record-keeping requirements
Monitor compliance with contract obligations, key dates and renewal milestones, and report on contract status to management
Stay current with relevant legislative and regulatory requirements (including consumer law and therapeutic goods supply requirements) and liaise with legal advisors as needed
Interpret contract terms for internal stakeholders across sales, procurement, logistics and finance, and support the development of contract templates and procedures
Skills and Experience Required
Diploma, Advance Diploma or higher in Business field or similar background.
At least 1 year of relevant work experience as a Contract Administrator or in a similar contract/commercial administration role
Sound understanding of contract terms, variations and negotiation principles
Strong written and verbal communication and stakeholder management skills
High attention to detail and strong organisational and time-management skills
Proficiency in Microsoft Office (particularly Excel and Word) and contract/document management systems
Experience in the medical equipment, aged care, healthcare, or a related supply industry highly regarded but not essential
Ability to work independently and manage multiple contracts and deadlines simultaneously
