Job Description
General Administration
n
Provide day-to-day administrative support to the Management Team.
n
Manage general telephone, email and administrative enquiries and direct matters to the appropriate person.
n
Prepare letters, correspondence, reports, forms, templates and other organisational documents.
n
Maintain accurate electronic records and filing systems.
n
Ensure documents are appropriately named, filed, stored and accessible to authorised personnel.
n
Assist with printing, scanning, filing and distribution of documentation.
n
Maintain office supplies, stationery and general administrative resources.
n
Assist with meeting preparation, agendas, minutes and follow-up actions where required.
n
Assist with meeting/training room bookings, catering, setup and facilitation.
n
Support the coordination of organisational meetings, appointments and events.
n
Participant Administration
n
Create and maintain participant administrative records within approved organisational systems.
n
Assist with participant intake and service commencement documentation.
n
Support the preparation and distribution of participant correspondence.
n
Update participant contact information and stakeholder details when changes are received.
n
Assist with maintaining participant folders and property documentation.
n
Ensure participant information is handled confidentially and only accessed or disclosed where authorised.
n
Recruitment and Onboarding Support
n
Assist management and Human Resources with recruitment administration.
n
Assist with interview scheduling and correspondence.
n
Compliance and Quality Administration
n
Support the maintenance of organisational compliance registers.
n
Assist with preparation and collation of documentation for internal and external audits.
n
Support the maintenance of Continuous Quality Improvement records and registers.
n
Assist with maintaining complaints, feedback and incident administration records where authorised.
n
Escalate identified documentation gaps or compliance concerns to management.
n
Training Administration
n
Maintain training attendance and completion records.
n
Finance and Accounts Administration
n
Where authorised:
n
Support the collection and organisation of information required for participant billing and accounts administration.
n
Maintain accurate administrative records relating to purchases and expenses.
n
Assist with reconciliation and supporting documentation where required.
n
Maintain strict confidentiality regarding participant, employee and organisational financial information.
n
Property Compliance and Vehicle Administration
n
Maintain administrative records relating to SIL properties and organisational vehicles.
n
Assist with property maintenance requests and maintain records of reported maintenance.
n
Coordinate communication with property managers, landlords, contractors and suppliers when directed.
n
Maintain property-related documentation including leases, utilities, maintenance records and relevant compliance documentation.
n
Maintain vehicle registration, servicing and insurance records.
n
Monitor relevant expiry and renewal dates and notify management in advance.
n
Assist with coordinating repairs, servicing and maintenance as authorised.
n
Coordinate the scheduling of the following
n
n
Annual Pest Inspections
n
First Aid Kit Inspection and Restocking
n
Fire Equipment Servicing and Maintenance
n
n
Communication and Stakeholder Support
n
Maintain qualified communication with participants, families, employees and external stakeholders.
n
Direct enquiries to the correct member of the Management Team.
n
Ensure communication is clear, respectful and consistent with SYI expectations.
n
Maintain confidentiality when handling participant and employee information.
n
Assist with organisational announcements and communications as directed by management.
n
Record and elevate complaints, concerns or safeguarding matters immediately through the appropriate organisational pathway rather than attempting to independently resolve matters outside the scope of the role.
n
Document and Records Management
n
Maintain accurate, complete and current records.
n
Follow approved document naming and filing conventions.
n
Ensure superseded documents are appropriately archived where required.
n
Maintain appropriate version control for organisational documents.
n
Protect confidential and sensitive information from unauthorised access.
n
Ensure records are retained in accordance with organisational and legislative requirements.
n
Never remove, alter, destroy or disclose organisational records without appropriate authority.
