Valencia Bar & Grill provides an integrated hospitality and event environment, combining a full-service restaurant, bar, function facilities and a fully equipped commercial kitchen. The venue caters for restaurant dining as well as private functions, celebrations, corporate events, conferences, group bookings and other special occasions.
The venue's kitchen provides freshly prepared cuisine, with chefs preparing and grilling a range of favourite dishes to order. The dining environment is designed to provide guests with a warm, welcoming and quality fine-dining experience.
As the business continues to develop its restaurant, function and events operations, it requires an experienced
Conference and Event Manager
to manage and coordinate events and functions held at the venue and to support the continued growth of its events business.
About the Position
We are seeking an experienced and commercially focused Conference and Event Manager to coordinate and manage conferences, functions, corporate events, private celebrations, group bookings and other events hosted at Valencia Bar & Grill.
The position will be responsible for the end-to-end coordination of events, from initial client enquiry and event planning through to venue coordination, supplier management, event delivery and post-event follow-up.
The successful candidate will work closely with management, kitchen personnel, front-of-house staff, suppliers, contractors and clients to ensure that events are delivered professionally, efficiently and in accordance with agreed client requirements.
Key Responsibilities
Managing enquiries for conferences, functions, private events, corporate events, celebrations and group bookings.
Consulting with clients to understand their event objectives, requirements, preferred menus, timing, guest numbers and budget.
Developing event proposals, quotations, function packages and event plans.
Coordinating the complete event lifecycle from initial enquiry through to completion.
Conducting venue inspections and presentations for prospective clients.
Advising clients on venue facilities, dining options, function spaces, catering and event services.
Coordinating event menus and catering requirements with the kitchen and culinary team.
Working with chefs and kitchen management to coordinate menu requirements, dietary requirements, service timing and special requests.
Developing event schedules, run sheets, floor plans and operational requirements.
Coordinating room layouts, seating arrangements, decorations, entertainment,



audiovisual requirements and other event facilities.
Liaising with external suppliers, contractors, entertainers and service providers.
Obtaining and assessing supplier quotations and negotiating commercial arrangements where appropriate.
Coordinating event staffing requirements with management and operational teams.
Ensuring that front-of-house, kitchen and event personnel understand event requirements and service schedules.
Monitoring event budgets, costs and expenditure.
Assisting management with event revenue forecasting and commercial planning.
Monitoring event profitability and identifying opportunities to improve event revenue and operational efficiency.
Managing multiple bookings and events while ensuring that venue capacity and operational requirements are appropriately coordinated.
Maintaining strong relationships with corporate clients, private clients, event Managers and other stakeholders.
Managing client communications before, during and after events.
Resolving event-related operational issues and client concerns promptly and professionally.
Coordinating event setup, service operations and pack-down.
Monitoring the quality of food, beverage and service delivery in accordance with agreed event requirements.
Ensuring events are conducted in accordance with applicable health, safety, food safety and licensing requirements.
Conducting post-event reviews and obtaining client feedback.
Preparing event reports and identifying opportunities for improvement.
Developing repeat business and maintaining relationships with existing clients.
Supporting business development and promotional activities for the venue's conference, function and events operations.
Identifying opportunities to increase utilisation of the venue's function facilities.
Keeping informed of event-industry trends and opportunities relevant to the Swan Valley hospitality and tourism market.
Commercial and Senior Event Management Responsibilities
The position is a senior event-management role requiring substantial professional experience and independent decision-making.
The successful applicant will be expected to:
Manage significant private and corporate functions from initial enquiry through to completion.
Develop commercially viable event proposals and packages.
Manage event budgets and monitor costs against agreed client requirements.
Negotiate with clients, suppliers and external service providers.
Manage key client relationships.
Coordinate multiple operational teams involved in event delivery.
Coordinate kitchen, restaurant, bar and function operations for events.




Manage competing event requirements and deadlines.
Identify opportunities to increase function and event revenue.
Assist management in developing the venue's events and functions business.
Exercise independent judgement when dealing with complex client, supplier and operational matters.
Maintain high standards of customer service and event delivery.
Fine Dining Restaurant
A full-service dining environment where meals are prepared by the kitchen team using fresh ingredients and presented to guests as part of a quality dining experience.
Lively Bar
A hospitality environment providing beverages and social dining experiences for patrons and event guests.
Function Centre
Dedicated facilities supporting private functions, celebrations, corporate events, conferences, group bookings and other special occasions.
Fully Equipped Commercial Kitchen
A professional kitchen supporting the restaurant and function operations, with chefs preparing and grilling cuisine to order and catering for different event requirements.
Selection Criteria
Applicants should demonstrate:
Relevant qualifications in Event Management, Hospitality Management, Tourism, Business or a related field, or equivalent relevant professional experience.
Substantial experience in conference, function, hospitality or event management.
Demonstrated experience managing events from initial enquiry through to successful completion.
Experience managing corporate functions, private events, conferences or comparable hospitality events.
Demonstrated ability to manage event budgets and commercial requirements.
Experience coordinating catering and food-service requirements for events.
Experience working with hospitality venues, restaurants, function centres or similar environments.
Strong client relationship and stakeholder-management skills.
Demonstrated experience coordinating suppliers and contractors.
Strong organisational and project-management skills.
Excellent communication and negotiation skills.
Ability to manage multiple events and competing priorities.
Strong problem-solving and decision-making capabilities.
Ability to work independently and exercise sound professional judgement.
Strong understanding of customer service and hospitality standards.
Salary and Employment
Salary: $150,000 – $170,000 per annum + superannuation
This is a
full-time position of 38 hours per week

The remuneration reflects the seniority and commercial responsibilities of the position, including event planning and management, client and stakeholder management, supplier negotiations, event budgeting, coordination of venue, restaurant, kitchen and bar operations, and contribution to the growth of the venue's function and events business.
Employment will be subject to applicable Australian workplace laws and statutory entitlements.
