Medical Receptionist/Secretary (Part-Time)
Monday to Wednesday | 24 Hours Per Week | Wollongong NSW
Dr Matthew Starr, Specialist Plastic and Reconstructive Surgeon, is seeking an experienced Medical Receptionist/Secretary to join the onsite team at Coastal Aesthetics, Plastic Surgery & Skin in central Wollongong.
Reporting to the Practice Manager, you will work closely with Dr Starr and the broader practice team to ensure a seamless patient journey and provide responsive front-desk and administrative support. The role also assists with the upkeep of the practice's social media channels.
To be successful, you will likely have the following skills and experience:
Proven medical receptionist or secretary experience, preferably within a specialist or surgical workplace (plastics experience highly regarded).
Working knowledge of medical billing and reconciliation (Medicare, DVA, and health funds).
Strong computer literacy and competence with practice management software (Xestro preferred).
Excellent interpersonal and communication skills, with a welcoming phone manner and empathetic approach.
Exceptional organisation,



attention to detail, and the ability to work autonomously in a busy practice.
An interest in social media and basic content curation is advantageous.
Primary Responsibilities include:
Welcome patients and manage all front-of-house enquiries with a warm, professional manner.
Schedule and confirm appointments, including hospital admissions and theatre bookings.
Coordinate clinic days, manage patient flow, and provide pre- and post-operative administrative support.
Prepare surgical quotes, process billings and payments, and follow up outstanding accounts (Medicare, DVA, and health funds).
Manage audio-transcription and outgoing correspondence with GPs and specialist referrers.
Liaise with hospitals and affiliated clinical staff.
Assist with pre- and post-operative clinical photography when required.
Maintain accurate, confidential patient records in line with privacy regulations.
Support the upkeep of the practice's social media channels.
