The Administrative Assistant at BoraCare plays a pivotal role supporting key roles and functions to ensure the smooth and efficient operation of the office. This role involves handling a variety of administrative tasks, managing communications, organizing schedules, and assisting staff and management with day-to-day activities. The ideal candidate is detail-oriented, proactive, and capable of multitasking in a rapid-paced environment.
Key Responsibilities:
Administrative Support
· Answer and direct phone calls, emails, and other correspondence.
· Prepare and edit documents, reports, and presentations.
· Maintain organized filing systems (electronic and paper).
· Schedule meetings, appointments, and travel arrangements.
· Assist in the preparation of regularly scheduled reports.
Office Coordination
· Monitor and maintain office supplies inventory.
· Manage incoming and outgoing email enquiries.
· Assist with workspace setup for new employees (desks, IT equipment, supplies).
· Maintain office calendars, including meeting room bookings and shared resources.
· Ensure compliance with health and safety standards in the office environment.
Staff & Client Interaction
· Greet and assist visitors, stakeholders and clients professionally.
· Provide administrative support to staff and management, specifically the CEO, Managers and HR Lead.
· Assist with onboarding of new employees and training logistics.
· Maintain confidentiality of sensitive information.
Data Entry & Record Keeping
· Input and update data in spreadsheets, databases, and systems.
· Maintain accurate records, such as meeting minutes.
· Provide administrative support for departmental and cross-functional projects.
· Prepare project documentation, meeting agendas, and status reports.
· Maintain project files and ensure version control of documents.
Qualifications and Training:
· Certificate or Diploma in Business Administration or related field.
· 1–2 years of experience in an administrative or clerical role
· Maintaining all industry and organisational-related mandatory clearances
Experience s Knowledge
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
· Strong organisational and time-management skills.
· Excellent written and verbal communication abilities.
· Ability to work independently and collaboratively, and a high level of professionalism and discretion.
This is a part-time role of 24 hours per week. We offer flexibility in how those hours are worked, with the option to work three full days (9:00am to 5:00pm) or shorter days across four days, subject to operational requirements.
