Our National Operations Centre (NOC) plays a critical role in coordinating operations across multiple service streams and ensuring the consistent delivery of safe, compliant, and high-quality services to our clients.
As Allied continues to grow nationally, we are seeking a highly organised, detail-oriented NOC Admin Officer to support both security and facilities operations through effective scheduling, incident coordination, contractor management, and administrative support.
Position Summary
The NOC Admin Officer – Security & Facilities is responsible for supporting the delivery of Allied’s national operations by coordinating work orders, monitoring service activities, scheduling contractors and field staff, and ensuring compliance across both security and facilities services.
Working within Allied’s National Operations Centre, this role provides real-time operational support across multiple client sites, ensuring preventative maintenance, security operations, incidents, and service requests are managed efficiently and professionally.
This role is suited to someone with strong administrative capability, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Operations Monitoring & Coordination
- Monitor operational activity across security and facilities services through Allied systems including EDGE and associated platforms
- Track and manage service requests, incidents, alarms,
and work orders in real time
- Coordinate field staff, technicians, and contractors across national sites
- Maintain accurate job records, updates, and status tracking
- Ensure all tasks are completed within required timeframes and escalate delays where required
Maintenance Planning & Scheduling
- Coordinate and schedule preventative, reactive, and statutory maintenance activities
- Support the implementation and tracking of maintenance schedules across client portfolios
- Monitor open work orders and ensure timely completion
- Assist with maintaining asset registers and maintenance records
- Ensure servicing activities comply with manufacturer recommendations and regulatory requirements
Contractor Coordination
Schedule works with external contractors across services including:
- HVAC
- Electrical
- Fire safety systems
- Plumbing
- Cleaning
- Pest control
- Verify contractor compliance documentation including licences, insurances, SWMS, and inductions
- Coordinate site access, permits, and security clearances
- Monitor contractor attendance and service delivery performance
- Ensure all operational activities align with WHS legislation and Allied safety procedures
- Track statutory compliance activities including fire systems, emergency lighting, lifts, and HVAC servicing
- Maintain accurate safety records and documentation
- Report hazards, incidents, and non-conformances through the appropriate channels
Administration & Reporting
- Maintain accurate records of work orders, incidents, and communications
- Prepare shift reports and operational summaries
- Support reporting on KPIs, service performance, and compliance activities
- Maintain up-to-date client, site, and contractor information in Allied systems
- Assist with procurement and coordination of service providers where required
Experience & Qualifications:
- Minimum 2–3 years experience in operations coordination, control room operations, facilities coordination, or scheduling
- Solid proficiency with Microsoft Office (Excel, Outlook, Teams)
