Bookkeeper | Hybrid/Remote | Casual | Approximately 15 Hours per Week

We’re looking for an experienced Bookkeeper to support our Finance Manager with day-to-day finance operations across our recruitment business.

This casual role covers bookkeeping, contractor invoicing, timesheet coordination and payroll preparation. It would suit someone who is confident using Xero, enjoys working with detail and can manage competing deadlines.

The role offers a hybrid working arrangement, with fully remote work considered for the right candidate.

About the role

Reporting to the Finance Manager, you’ll keep financial records accurate and up to date, prepare invoices and payment schedules, and follow up outstanding timesheets and accounts. You’ll work within established processes, with the Finance Manager responsible for review, approvals and financial oversight.

Key responsibilities

Complete monthly bank reconciliations, accurately code transactions and maintain supporting records.

Maintain contractor records, approved pay rates, repeating invoices and bills.

Raise client invoices from approved timesheets, following client billing cycles, purchase order requirements and submission processes.

Resolve routine invoice queries and rejections, preparing corrections for review where required.

Obtain purchase orders, maintain records and monitor remaining values and expiry dates.

Monitor outstanding accounts, send payment reminders and elevate overdue balances or disputes.

Coordinate timesheet submissions and approvals,



following up with contractors and client approvers to meet deadlines.

Process supplier invoices and contractor bills, and prepare contractor payment schedules for approval.

Prepare PAYG contractor pay runs using approved timesheets and pay rates.

Assist with IAS payment preparation when instructed, maintaining transparent supporting records.

Keep accurate records across Xero, Timesheet Portal and our CRM, and assist with other finance administration as required.

About you

Demonstrated bookkeeping experience, ideally within recruitment, labour hire, professional services or a business managing a high volume of contractors.

Strong working knowledge of Xero, bank reconciliations, accounts receivable, accounts payable and payroll preparation.

Excellent attention to detail and the ability to manage different billing cycles, payment arrangements and client portals.

Clear, professional communication and confidence following up outstanding information.

A sound understanding of confidentiality, payment approvals and financial controls.

The ability to work independently while keeping the Finance Manager informed of issues and exceptions.

Working arrangements

This is a casual position offering approximately 15 hours per week, with a mix of office-based and remote work. Fully remote arrangements will be considered for the right candidate.

Working hours will be scheduled around key timesheet, invoicing, payroll and payment deadlines. Additional hours may be required during peak periods and will be agreed in advance with the Finance Manager.
