We are seeking a professional, personable and highly organisedReceptionistto join our busy Barristers’ Chambers.
As the first point of contact for clients, solicitors, barristers and other visitors, the Receptionist plays an important role in ensuring that Chambers operates efficiently and that everyone who enters our premises receives a warm, professional and welcoming experience.
This is a varied role suited to someone who is confident dealing with people, communicates exceptionally well and can remain calm, organised and professional in a busy legal environment.
Key Responsibilities
Front-of-House & Client Service
Welcome clients, solicitors and other visitors warmly and professionally.
Manage arrivals, including maintaining an accurate diary/log of all third-party visits to chambers.
Sign visitors in and promptly notify the relevant barrister or clerk of their arrival.
Maintain a clean, tidy and welcoming reception area, waiting rooms and conference rooms.
Ensure public areas are appropriately stocked with reading materials, refreshments and other necessities.
Provide a high standard of client service and represent chambers professionally at all times.
Communications
Answer incoming telephone calls promptly, courteously and professionally.
Screen and transfer calls to the appropriate barrister, the Clerk or member of staff.
Take accurate and detailed messages and communicate them promptly by email or voicemail.
Deal confidently and professionally with enquiries from clients, solicitors, barristers, courts and other external parties.
Assist with setting up and troubleshooting virtual meetings and remote hearings using platforms such asZoom and Microsoft Teams.
Administrative & Facilities Support
Coordinate with the Clerk to allocate and manage conference rooms for meetings, conferences and hearings.
Sort and distribute incoming post and manage deliveries.
Arrange outgoing couriers and other deliveries as required.
Provide general administrative assistance to barristers, the Clerk and chambers staff.
Assist with basic travel arrangements and other ad hoc administrative tasks.
Assist with office equipment and facilities, ensuring any issues are reported and addressed promptly.
Undertake other reasonable duties to support the smooth and efficient operation of chambers.
About You
We are looking for someone who is:
Professional, polished and approachable, with a friendly manner.
An excellent communicator with strong verbal and written communication skills.
Highly organised, reliable and attentive to detail.
Confident dealing with people at all levels, including senior legal professionals, clients and members of the judiciary.
Able to remain calm and professional while managing competing demands in a busy environment.
Comfortable using telephone, email and standard office technology.
Technologically capable and willing to learn new systems and platforms.
Discreet and trustworthy, with an understanding of the importance of confidentiality in a legal environment.
A team player who is willing to assist colleagues and take a proactive approach to their work.
Previous reception or front-of-house experience is preferred but not essential.
We are particularly interested in candidates who demonstrate excellent communication skills, professionalism, initiative and a genuine commitment to providing outstanding service.
