Newly Created Role | Brain Hub & Brain Hub Kids

$35–$40 per hour + super + performance incentive | Sydney

As Brain Hub and Brain Hub Kids continue to grow, we're creating a dedicated Patient Intake Coordinator to own the recent patient journey from first enquiry or referral through to commencement of care.

Working across our adult and paediatric services , you'll support patients, children and families navigating neurological, developmental and other complex conditions. This requires warmth, sensitivity and the ability to make what can be an overwhelming healthcare journey feel clear and well supported.

This is an opportunity to shape a newly created function within our specialist multidisciplinary clinics.

About the role

This is a part-time role with the possibility of evolving into full-time.

You’ll be the key point of contact for new patients, families and referrers, working across adult and paediatric services to support patients, children and families navigating neurological, developmental and other complex conditions. This requires warmth, sensitivity and the ability to make what can be an overwhelming healthcare journey feel clear and well supported. You’ll own the new patient journey from first enquiry or referral through to commencement of care.

Key responsibilities

- Managing new enquiries and referrals
- Proactively following up prospective patients and families
- Building rapport and understanding what people need
- Confidently explaining services, fees and next steps
- Coordinating intake, onboarding and initial appointments
- Supporting NDIS intake and administrative requirements
- Maintaining an organised enquiry and referral pipeline
- Ensuring a seamless handover into ongoing care
- Working closely with Care Coordinator, Patient Services and Lead Clinicians to create a connected patient journey from first contact through to ongoing care





About you

- Exceptional customer or patient experience skills
- Strong relationship management and proactive follow-up
- Healthcare, allied health, disability or NDIS experience
- Confidence discussing services, fees and value
- Excellent communication, organisation and attention to detail
- Team player who rolls up their sleeves and helps their peers
- Experience managing enquiries, clients or a customer pipeline
- Empathy and confidence communicating with parents, families and people navigating complex healthcare needs
- Experience in customer engagement, customer success or service-based sales highly regarded, particularly when combined with healthcare, paediatric or NDIS experience
- Paid NSW Working with Children Check, National Police Check, NDIS Worker Screening clearance and satisfactory reference checks required

$35–$40 per hour + superannuation , depending on experience and capability, plus a performance incentive scheme linked to agreed patient engagement, service and business performance measures.

Employment Requirements

The successful candidate will be required to hold or obtain:

- Paid NSW Working with Children Check
- satisfactory National Police Check
- NDIS Worker Screening clearance appropriate to the role
- satisfactory employment and reference checks.
