QUT Guild is looking for a highly organised, people-focused and detail-oriented Student Representative & Governance Coordinator to join our Student Experience team on a 12-month parental leave contract .

As the Student Representative & Governance Coordinator, you will play an important role in supporting our elected Student Representative Council (SRC), student representatives and Guild elections, ensuring our representative and governance processes operate effectively, consistently and professionally.

About the role

Reporting to the Head of Student Experience , you will coordinate the day-to-day administrative and operational requirements of the SRC and associated representative structures.





Your responsibilities will include:

- Coordinating the onboarding, induction and transition of elected student representatives.
- Supporting the administration of SRC meetings, including agendas, reports, minutes, motions and action registers.
- Maintaining accurate governance records, registers and representative information.
- Monitoring representative compliance with Guild policies, regulations, reporting requirements and other obligations.
- Supporting representative training, development and portfolio planning.
- Coordinating administrative requirements associated with the SRC Accountability Framework.
- Supporting Guild elections and election-related processes in accordance with the Guild's Constitution and Regulations.
- Coordinating communications, briefings, resources and reminders for elected representatives.
- Working collaboratively with Guild staff, elected representatives and relevant QUT stakeholders.
- Identifying and escalating governance, conduct, compliance, wellbeing or reputational concerns appropriately.
- Providing accurate and timely reporting to the Head of Student Experience and relevant stakeholders.

The role requires someone who can work confidently within established procedures, exercise sound judgement and understand when an issue needs to be escalated to an appropriate decision-maker.

About you

You will be an organised and proactive coordinator who can balance competing priorities,



maintain confidentiality and build positive working relationships with a diverse range of people.

You will bring:

- Experience supporting governance, committees, boards, councils or similar representative structures.
- Strong administration, coordination, records management and organisational skills.
- Excellent attention to detail and the ability to work to fixed deadlines.
- Robust written and verbal communication skills.
- The ability to understand and clearly explain policies, procedures and governance requirements.
- Sound judgement, discretion and a commitment to confidentiality and impartiality.
- The ability to work autonomously while also contributing positively to a team.
- Confidence using Microsoft 365 and digital systems.
- The ability to identify issues and elevate matters appropriately.

Hours: 21 hours per week (3 days)
Classification: QUT Guild EBA Level 4.1
Location: Kelvin Grove and Gardens Point campuses
Reports to: Head of Student Experience

Some work outside ordinary business hours may be required to support SRC meetings, elections and scheduled governance activities.
