We are seeking an experienced and highly organised Senior Medical Receptionist / Secretary to join a busy, well-established specialist private practice based across leading private hospitals in Brisbane.

The practice is led by a highly respected senior physician with extensive clinical, administrative and academic experience. Prior to establishing a successful private practice, he held senior medical leadership positions within major Brisbane hospitals, including Deputy Director of a Division of Medicine and subsequently Director of Internal Medicine and Perioperative Medicine.

In addition to his private practice commitments, he is a Senior Lecturer in Medicine at The University of Queensland and serves as Chair of a major hospital’s Drugs and Therapeutics Committee. This is an opportunity to become an integral part of a professional medical team where organisation, discretion, initiative and a high level of patient service are highly valued.

The position is full-time, Monday to Friday, with the following hours:

Monday: 8:00am – 4:30pm

Tuesday: 11:00am – 7:00pm

Thursday: 8:00am – 4:30pm

Friday: 8:00am – 4:30pm

Key duties and responsibilities will include, but are not limited to:

Manage the day-to-day operations of patient clinics, responding promptly and professionally to patient enquiries.

Coordinate and oversee a busy Physician’s appointment schedule across two major hospitals and a private practice clinic.

Coordinate all aspects of clinic operations,



including in-person and telehealth consultations.

Manage inpatient and outpatient billing processes using Xestro software, ensuring accuracy and timely processing.

Triage incoming patient referrals and coordinate the appropriate allocation and scheduling of new patients.

Liaise with clinicians, hospital teams and practice staff to support the timely coordination of preoperative assessments.

Organise and coordinate preoperative investigations, including X-rays, echocardiograms, pathology and lung function testing, according to each patient’s medical history and clinical requirements.

Prepare accurate and timely clinical correspondence using Lyrebird AI technology, ensuring documentation is completed to a high qualified standard.

Work closely with the Practice Manager to support the efficient and smooth day-to-day operation of the practice.

Maintain effective communication with patients, clinicians, hospitals and external providers to ensure a coordinated and patient-focused service.

This is a fast-paced role supporting a highly active General Physician and requires an experienced Medical Receptionist/Secretary who is exceptionally organised, calm under pressure, able to work both independently and within a small team and demonstrates a positive, proactive attitude.

Working closely with the Physician and supported by an experienced Practice Manager, this position offers a rewarding, dynamic and career-building opportunity.

Remuneration:

An hourly rate of $42 - $48 per annum plus super will be offered to the successful candidate, commensurate with experience.
