About the Role As the first point of contact for visitors, donors, volunteers and stakeholders, you'll play a vital role in ensuring every interaction with the Foundation is professional, warm and memorable.
Reporting to the Office Manager, you'll provide reception and administrative support across the organisation while gaining exposure to fundraising, events, volunteer services and office operations.
This is a varied role where no two days are the same. One day you may be greeting visitors and managing enquiries, while the next may involve supporting a fundraising event, coordinating volunteers or assisting with office projects.
Employment Details
Position Title: Administration Support Officer
Employment Type: Full-Time, Permanent
Location: Woolloongabba, Brisbane QLD
Salary: $55,000 – $65,000, plus superannuation
Hours: Monday to Friday, standard business hours
Reporting To: Office Manager
The salary offered will be commensurate with skills, experience and demonstrated capability. Candidates with additional administration, stakeholder engagement or event support experience may be considered at the upper end of the salary range.
Interviews for this position are tentatively scheduled for Friday 2nd of October.
Key Responsibilities
- Deliver a professional, friendly and welcoming experience for visitors, donors, volunteers and stakeholders.
- Processing donations and general cash handling with a high level of accuracy.
- Manage telephone, email and in-person enquiries, including screening and directing calls and coordinating appointments.
- Maintain an organised reception area and coordinate mail, couriers, deliveries, meeting rooms and visitor arrangements.
- Provide day-to-day administration, including preparing documents, entering data and maintaining electronic files and organisational records.
- Assist with fundraising campaigns and events, including registrations, communications, and mailing.
- Coordinate volunteer enquiries and engagement while building positive relationships with donors and community supporters.
- Maintain confidential stakeholder records, monitor supplies, and contribute to projects and a collaborative team culture.

- Strong written and verbal communication skills.
- Excellent organisational skills and attention to detail.
- A positive, friendly and professional attitude.
- Confidence using Microsoft Office applications, including Outlook, Word and Teams.
- The ability to manage competing priorities and work effectively in a busy environment.
- Strong interpersonal skills and the ability to build relationships with a wide range of people.
- A high level of discretion and professionalism.
Desirable but Not Essential
- Previous reception or administration experience.
- Experience in a healthcare, hospital, charity or not-for-profit workplace.
- Experience supporting events, volunteers or community programs.
